Summary: The exam program invigilation coordinator provides coordination, guidance, and assistance to students, instructors and exam staff regarding exam accommodation delivery, exam irregularities, and academic integrity concerns. This role coordinates the invigilation aspects of accommodated exams, including the hiring, training, scheduling and supervising of exam invigilation staff as well as facilitating payroll and addressing issues during invigilation shifts. This position works as part of a team responsible for the determination and facilitation of exam services and accommodations to students who qualify for reasonable accommodations. The coordinator helps to support students and uphold academic integrity. Duties and Responsibilities: Responds to concerns related to disability accommodations, exam irregularities, academic integrity concerns, technological failures, and escalated student or instructor concerns. Coordinates invigilation operations for accommodated exams, including staffing, scheduling, and exam delivery processes. Supervises a team of exam invigilation staff, including supporting hiring, training, assigning workflow, and providing mentorship and performance feedback. Creates and maintains work schedules for invigilation staff and oversees assigned work hours. Approves timecards and facilitates payroll processes for exam invigilation staff. Maintains records and documentation in alignment with unit and university standards. Provides advice and guidance to exam invigilation staff, including during exam administration. Provides coverage and assistance within other areas of the department. Responds to general inquiries from students and instructors regarding exam accommodations and procedures. Contributes to departmental goals, initiatives, and team projects. Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, contributes to a positive and productive work and learning environment, and models these behaviours across the institution. Builds and leads diverse teams, champions inclusive leadership, and values different perspectives. Engages in and supports the understanding and growth of employees with the frameworks, initiatives and activities relating to equity, diversity and inclusion and Indigenous engagement. Undertakes related duties, as assigned, consistent with the nature of the position. Qualifications: A bachelor’s degree in a related field. Violence Threat Risk Assessment and Mental Health First Aid certification is an asset. Minimum of two years of experience working with individuals with disabilities and other protected categories in a disability, human rights, or post-secondary setting. Supervisory and team-building experience. Knowledge of human rights legislation, protected categories, and adult disability related issues. Knowledge of university examination processes, academic integrity requirements, and applicable privacy legislation. Effective communication and interpersonal skills. Strong analytical abilities and attention to detail. Ability to work effectively both independently and collaboratively in a team. Strong organizational skills with the ability to balance competing priorities to meet deadlines. Ability to act with a high degree of professionalism, maintain confidentiality, and navigate sensitive matters with tact and diplomacy. Excellent customer service orientation. Proficient computer skills, including Microsoft Office applications.
