Waukegan Community Unit School District No. 60 serves nearly 13,000 students in preschool through grade 12 and is located halfway between Chicago, Illinois and Milwaukee, Wisconsin on the shores of Lake Michigan. The District has 1 early learning center, 15 elementary schools, five middle schools and a high school program divided between two 9th � 12th grade campuses. The District encompasses portions of Waukegan, Beach Park and Park City.

Child Nutrition and Transportation Related Services Specialist

The Specialist is directly responsible to the Manager of Child Nutrition and Transportation Related Services and indirectly responsible to the Deputy Superintendent, Deputy Superintendent/Chief Operations Officer.

 

Location: Lincoln Center

 

Responsibilities

General Duties: To perform the clerical and record-keeping functions necessary for the effective functioning of Child Nutrition and Transportation Related Services department. 

Specific Duties: (1) Enter departmental purchase requisitions in Finance System; (2) Compose, write and/or type correspondence, bulletins, E-mails, guides, forms; maintain written and electronic records and reports; keep organizational and financial files up-to-date; duplicate and distribute written materials; monitor telephones, record messages and follow up with inquiries as directed and/or appropriate; (3) Assist Manager with projects and reports; (4) Compile and distribute information relative to the annual ISBE Parent/Guardian Transportation Reimbursement Claim; (5) Prepare National School Lunch Claims monthly, compiling data, completing District claim worksheet and process reimbursement in IWAS; (6) Provide backup assistance to Grants & Budgeting during extended absences in preparing ADA reports; (7) Assist parents with inquiries related to the School Lunch Program and Student Transportation; (8) Provide assistance in the processing of student fee waiver applications; including entering data into Infinite Campus, securing documentation, preparing correspondence and reporting eligibility status to families, schools, and District offices; (9) Collection of departmental fees associated with the Child Nutrition and Transportation Related Services office; (10) Process school fee refund requests; (11) Assist in completing the departmental annual budget; (12) Run budget reports when needed. 

Auxiliary: (1) Assist in accounts payable in as a "back up" supporting mechanism; (2) Be available as a resource for training to assist new/other personnel with duties formerly performed.

 

Clerical Office Duties: (1) Inform the Manager of Child Nutrition and Transportation Related Services of telephone calls, correspondence, work to be completed, and other matters that require attention, as well as any recommended follow-up action taken or action that may be required; (2) Maintain accurate records and proficient filing systems; (3) Keep records of department leases; (4) Keep copies of contracts and maintain contract files; (5) Maintain all files related to requisitions and invoices; (6) Troubleshoot all problems involving contractor invoicing working toward conflict resolution; (7) Keep spreadsheet of student accident reports; (8) Utilize electronic calendar for maintaining scheduled appointments and meetings; (9) Act as receptionist for the Child Nutrition and Transportation Related Services by welcoming and assisting all visitors, answering telephone calls and taking messages; (10) Maintain department payroll, Crossing Guard Payroll and recordkeeping processes; (11) Operate all office equipment (copier, printer, fax, computer, adding machine, and other office equipment as required); (12) Prepare and disseminate all correspondence, notices, forms, minutes, etc. for the Manager of Child Nutrition and Transportation Related Services; (13) All record keeping and filing; (14) Manipulate and process data; (15) Create and run reports based on district policies and procedures or as requested by the Supervisor; (16) Maintain office equipment and process service requests when necessary; (17) Will attend any and all trainings necessary to learn new technologies and skills as requested by Administration and/or their designee; (18) Other job related duties as assigned by the Manager of Child Nutrition and Transportation Related Services.

 

Qualifications: (1) Must have a high school diploma or equivalent; (2) Ability to use modern office technology, such as word and spreadsheet software; (3) Minimum typing speed of 45 wpm and the ability to pass required proficiency test(s); (4) Ability to do record keeping; (5) Ability to prioritize and work independently with minimal supervision; (6) Ability to follow oral and written instructions; (7) Ability to professionally and quickly handle questions and concerns from co-workers, students, and parents; (8) Excellent organizational skills, with ability to keep all records and files up-to-date and neat; (9) Ability to accomplish scheduling, including proficiency using the district electronic calendar system. 

 

Salary: Per WPSS salary schedule Class Specialist
