FUNCTION: The Senior Administrative Assistant provides comprehensive administrative support for the San Jacinto College GEAR UP: Galena Park ISD Student Success project, a seven-year federally funded initiative. This position serves as the first point of contact for the GEAR UP office, manages day-to-day administrative operations, and assists with internal reporting, scheduling, and coordination of activities to ensure compliance with institutional and federal guidelines. Essential Job Functions: Serve as the initial point of contact for visitors, students, and partners; manage front office operations. Provide administrative support to the Project Director and GEAR UP staff, including scheduling meetings, preparing agendas, and maintaining calendars. Assist in preparing internal reports and compiling data for quarterly and annual grant reporting. Maintain organized filing systems for grant documentation, student records, and compliance materials. Coordinate logistics for workshops, campus visits, and parent engagement events, including room reservations and materials preparation. Process purchase orders, track supply inventory, and assist with budget documentation as directed by the Project Director. Support communication efforts by drafting correspondence, updating social media posts, and assisting with bilingual outreach materials (English/Spanish preferred). Provide assistance with travel arrangements for staff attending GEAR UP conferences and events. Perform other duties as assigned to support project goals and compliance requirements.
