Job Description

**Intake Specialist **
This position serves as the first point of contact for patients, providing professional and courteous assistance over the phone. The ideal candidate will manage a high volume of inbound and outbound calls, assist with appointment scheduling, answer general inquiries, and ensure accurate documentation of patient information.
Key Responsibilities:
• Handle inbound and outbound calls with professionalism and empathy
• Schedule, confirm, and reschedule patient appointments accurately
• Verify patient demographics and insurance information, updating records as needed
• Provide general information about services, policies, and procedures
• Route calls to appropriate staff and address patient concerns
• Document all communications in the system with accuracy
• Assist with appointment reminders, follow‑ups, and referral coordination
• Maintain patient confidentiality in compliance with HIPAA regulations
• Support administrative tasks such as data entry and coordination with other departments
• Identify urgent situations and escalate appropriately
• Oversee intake processes including paperwork, questionnaires, and consultations
• Follow up with patients who have not responded to calls, texts, or emails
