Texas A&M's Geography Department is looking for a Senior Administrative Coordinator I who serves as the primary administrative support to the Department Head, coordinating departmental operations, services, and administrative procedures to ensure the effective functioning of the department. This position oversees course scheduling and provides comprehensive support for faculty recruitment, reviews, promotions, tenure and non-tenure processes, and publication tracking. The Senior Administrative Coordinator I also supervises administrative staff and student employees, collaborates with degree program leadership to support assessment and core curriculum certification efforts, and oversees departmental inventory and operational resources. Through these responsibilities, the position plays a critical role in supporting the department's academic, administrative, and strategic objectives.
Opportunities to Contribute
Directs departmental administrative operations by establishing strategic objectives, setting priorities, managing workflow, and developing standards to achieve operational goals.
Develops, interprets, and implements administrative policies, procedures, and operational practices while leading process improvement initiatives to enhance departmental efficiency and effectiveness.
Serves as the primary executive support to the Department Head by managing priorities, coordinating initiatives and strategic planning activities, and ensuring accuracy and compliance of departmental documentation.
Manages highly sensitive and confidential personnel, review, and administrative records while ensuring compliance with institutional recordkeeping and confidentiality requirements.
Prepares, analyzes, and compiles departmental reports, reviews, research materials, and project summaries to support administrative decision-making, compliance, and strategic initiatives.
Oversees academic scheduling and classroom coordination by managing course and lab schedules, maintaining scheduling systems, and serving as the primary liaison with Registration, Admissions, and the Registrar's Office.
Manages departmental facilities, space allocation, property records, parking administration, key control, and facility-related issues while serving as the primary liaison for building and asset management.
Serves as a key departmental resource and liaison, facilitating communication and collaboration between leadership and administrative support units including HR, Business Services, and IT.
Plans and coordinates logistics, meetings, travel, events, interviews, seminars, and special projects in support of departmental initiatives and programs.
Coordinates faculty recruitment, hiring, promotion, and tenure processes, including search activities, dossier preparation, and personnel documentation.
Supports international faculty, visiting scholars, postdoctoral researchers, and research staff by coordinating immigration, appointment, and promotion-related processes.
Provides administrative oversight for faculty workload reporting, compliance requirements, and graduate academic milestones, including examinations and thesis/dissertation defenses.
Supervises, trains, mentors, and evaluates administrative staff and student employees to ensure effective departmental support services.
Approves employee leave requests and serves as the Department Head's delegate for administrative transactions in Workday and Concur.
Provides backup front-office support, including customer service, shipping and receiving, room scheduling, key management, parking administration, and equipment checkout.
Qualifications
Bachelor’s degree or equivalent combination of education and experience.
Six years of experience in office administration.
Knowledge of word processing, and spreadsheet applications.
Interpersonal and communication skills.
Planning and organizational skills.
Ability to multi-task and work cooperatively with others.
Ability to work with a wide range of groups of people and be helpful, respectful, approachable, and team oriented.
Ability to build strong working relationships and a positive work environment.
A well-qualified candidate for this position will also possess:
Knowledge of TAMU systems including Interfolio, Docusign, VP Faculty Affairs.
Knowledge of TAMU Registrar policies and procedures.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
