Responsibilities: 

  • Manage complex projects for new and existing clients responsible for initiating, planning, executing, monitoring/controlling, and closing the project ensuring all projects are delivered on time, within scope and budget. 
  • Manage multiple complex projects within the organization’s project portfolio.
  • Report incidents to management and escalate as needed.
  • Create and utilize established company tools, templates, and standard operating procedures to manage projects.
  • Mentor and train team members on standard operating procedures and best practices.  Maintain lessons-learned registry with feedback from the team members.
  • Monitor, coach, and report team performance to the Manager, Program Management.
  • Perfom additional duties as assigned
  • Travel requirements: up to 20% and may include overnight travel (ground and air)

 

Initiating/Planning

  • Identify and perform stakeholder analysis for the project.
  • Review, understand, and interpret client contracts to build a project plan.
  • Develop the project schedule within the standards of the department.
  • Obtain and coordinate applicable project resources (site survey, uniforms, installation, and training) for project execution.
  • Develop scope of work for third-party installers issuing a purchase order for the quoted services.
  • Communicate the project timeline to stakeholders; adhering to the departmental deployment standard.
  • Identify, manage, and document high-level risks, assumptions, and constraints to include confirmation of client payment and ensuring all equipment/resources are onsite.
  • Lead the project kickoff meeting by educating the client and providing an overview of the project deliverables and timeline of the project. 

 

Monitoring/Controlling

  • Design and control project kick-off process and ensure customer requirements are met within a detailed statement of work.
  • Leads an interdepartmental team to set expectations, and address questions, concerns, and/or complaints to ensure the project is on time, to specification, and with accuracy and efficiency.
  • Liaise between cross-functional teams, external vendors, and other stakeholders to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated.
  • Conduct and document project meetings (kick-off, status, and closeout) with clients and other stakeholders.
  • Manage ongoing changes to the project scope, project schedule, and project costs using appropriate verification techniques. 
  • Research and identify new methods or best practices to resolve unfamiliar issues.
  • Meet budgetary objectives and adjust project constraints based on financial analysis regularly.
  • Proactively manage the timeline by which a project’s tasks, milestones, or deliverables are met using creative problem-solving skills and negotiations.
  • Monitors task completion status to identify at-risk project tasks and develop a mitigation plan as needed to keep the project on track. 
  • Manage project communications to influence and ensure stakeholder engagement. 
  • Create and maintain comprehensive project documentation for historical data.
  • Update the status of the project (daily) in the project management software.
  • Communicate the overall project progress to senior management on an ongoing basis.

 

Closing

  • Obtain final acceptance from the client and measure client satisfaction with the project.
  • Conduct a smooth transition to the Client Success team upon project completion.
  • Contribute feedback and lessons learned to improve processes and the overall project approach as needed.
  • Bachelor’s degree or equivalent work experience is required.
  • Project Management Professional (PMP) is required.
  • 5+ years of proven work experience in project management, coupled with hands-on experience with Coreforce products and services, is preferred
  • Experience in strategic planning, risk management, or change management is required.
  • Six Sigma Green Belt Certification is highly preferred.
  • Possess a professional presence (communication and appearance) with the ability to effectively influence stakeholders and resolve conflict.
  • Excellent communication (written and verbal) skills with the ability to effectively communicate to audiences at different levels (IT, officers, law enforcement leadership, city council, and mayors) by modifying the message/language based on the audience.
  • Excellent interpersonal skills with the ability to work well in a team with diverse personalities.
  • Must have effective listening skills with a proactive client service focus.
  • Ability to be assertive, take initiative, and be a proactive change agent.
  • Ability to work independently, prioritize, and complete tasks in an organized, efficient, and effective manner. 
  • Must be able to perform under a high-stress, deadline environment making sound decisions while maintaining a calm, confident demeanor.
  • Ability to be responsible and responsive to deliver on the company’s commitments to the client.
  • Proven ability to multi-task with multiple projects and be flexible to changing demands.
  • Ability to effectively problem solve weighing multiple options to keep the project on time and within budget.
  • Possess excellent attention to detail to ensure flawless project execution on time and within budget.
  • Strong computer aptitude with proficiency with MS Office Suite and Google Workspace is required.
  • Experience with project management software tools such as Monday.com and ERP software such as NetSuite is preferred.
