Human Resources Clerk
Bilingual: English/Spanish
JOB DIMENSIONS:
Job Summary:
Under general supervision, perform and coordinate clerical functions of the Human Resources Department, and perform other related duties as assigned. Bilingual English/Spanish required.
Reports to:
Human Resources Manager.
Examples of Duties and Responsibilities:
Answers phones and helps internal and external customers who come into the HR office;
Review and update callout records daily and relay absence calls to appropriate supervisor;
Photocopies, posts and removes Internal Job Opening postings, and Employee Bulletins;
Prepare new hire paperwork to include all documents that require actual signatures;
Process all new hires on first day to include confirming new employees have completed their Onboarding documents in Dayforce, creating identity badges, issuing parking permits, and documentation check;
Process all new temporary employees and enter them into Dayforce. Create identity badges and parking permits as appropriate.
Files all I9’s and Documents in Binders and maintains the binders on a weekly basis;
Assist employees with kiosk-based training completion and Dayforce-related requests;
Upload disciplinary action incidents into HCM platform;
Administers the Work Apparel program;
Verifies invoices and sends to Accounts Payable department;
Monitor inventory of departmental office supply cabinet and order supplies, as supplies run low;
Pick up, sort and distribute incoming departmental mail, and deliver outgoing departmental mail to the mailroom;
Manage 1-year Anniversary Program in conjunction with HR Supervisor;
Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position; and
Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.
Primary backup person for the following activities:
Coordinate all interviews, notifications, and hiring administrative functions;
Review and submit timecards to each perspective staffing agency;
Record hours on Temp log; save timecards to HR Share drive
QUALIFICATIONS GUIDELINES:
Any combination equivalent of, but not limited to, the following:
Experience/Training/Education:
Equivalent to high school graduation with at least 1-2 years of clerical experience, preferably within a manufacturing environment.
Knowledge/Skills/Abilities:
Working knowledge of office administration and recordkeeping practices, procedures and privacy regulations;
Ability to organize and file records alphabetically, numerically, and chronologically;
Ability to maintain detailed and accurate records;
Ability to work cooperatively with others and communicate effectively with co-workers, applicants and employees;
Ability to maintain privacy and confidentiality of personnel and payroll data;
Ability to type at a speed of 45 words per minute;
Ability to operate personal computer and standard office equipment;
Proficient in MS Word, Excel, and Outlook software applications;
Ability to speak, read, and write accurately and fluently in English and Spanish; and
Ability to follow oral and written instructions;
Physical Requirements:
Ability to occasionally lift and/or carry boxes of office supplies, files, etc. up to 15 lbs.;
Ability to stretch, bend, and stoop;
Ability to drive an electric cart throughout the facility;
Most work tasks are performed indoors where the temperature is moderate and controlled by office environment systems;
Ability to work (sit and/or stand) at a desk for the majority of the workday; walking and/or standing may be required for the remainder of the workday. Length of time performing these physical requirements may vary from day to day and task to task;
Requires grasping, writing, sitting, standing, walking, repetitive motions, pulling, pushing, listening and hearing ability, and visual acuity;
Special Requirements:
Bilingual in English/Spanish required.
