The Indirect Procurement Process & Systems Specialist is responsible for designing, optimizing, and maintaining procurement processes and systems to drive efficiency, compliance, and value creation across the organization.
We are looking for a Senior Processes and Systems Specialist, based in Bucharest.
The role ensures seamless system functionality, supports users, improves reporting capabilities, and drives continuous process improvement through strong governance, training, and communication.
Key Responsibilities
Procurement Process Design & Optimization
· Define, document, and continuously improve end-to-end indirect procurement processes (Source-to-Pay, Procure-to-Pay).
· Ensure alignment of processes with company policies, compliance requirements, and best practices.
· Identify process gaps, inefficiencies, and opportunities for standardization and automation.
· Lead process improvement initiatives and support digital transformation projects.
Procurement Systems Management
· Act as the functional expert for procurement systems (e.g., Coupa, Ariba, SAP, Oracle, etc.).
· Manage system configuration, enhancements, and changes in collaboration with IT and vendors.
· Ensure system stability, performance, and data integrity.
· Participate in system upgrades, implementations, and integration projects.
Issue Resolution & User Support
· Own and manage procurement system incidents and user issues.
· Provide timely troubleshooting, root cause analysis, and resolution.
· Liaise with IT, external providers, and internal stakeholders to resolve complex system issues.
· Maintain issue logs and ensure continuous improvement based on recurring topics.
Reporting & Data Analytics
· Develop and maintain procurement dashboards and reports (spend, compliance, KPIs, supplier performance).
· Ensure accuracy, consistency, and availability of procurement data.
· Support decision-making through actionable insights and analytics.
· Drive automation and standardization of reporting tools.
Training & User Enablement
· Design and deliver training programs for procurement tools and processes.
· Develop and maintain user guides, SOPs, and training materials.
· Drive adoption of procurement systems and processes across the organization.
· Act as a key point of contact for user queries and knowledge sharing.
Communication & Change Management
· Lead communication plans for system updates, process changes, and improvements.
· Ensure clear and consistent messaging across stakeholders.
· Support management initiatives to enhance user engagement and adoption.
· Collaborate with global/regional teams to ensure alignment and consistency.
Governance & Compliance
· Ensure procurement processes and systems comply with internal policies and external regulations.
· Support audit activities and ensure proper documentation and controls.
· Monitor adherence to procurement policies and drive corrective actions where needed.
Key Skills & Competencies
· Strong understanding of Procure-to-Pay (P2P) and Source-to-Pay (S2P) processes
· Experience with procurement systems (e.g. Coupa, Oracle, Epicor MM)
· Process improvement mindset (Lean, Six Sigma knowledge is a plus)
· Strong analytical and reporting skills (Excel, Power BI, or similar tools)
· Problem-solving and issue management capabilities
· Excellent stakeholder management and communication skills
· Training and facilitation capabilities
· Change management experience
Qualifications & Experience
· Bachelor’s degree in Business, Supply Chain, Finance, or related field
· 3–7+ years of experience in procurement operations, systems, or process excellence
· Experience working in global or matrix organizations preferred
· Proven track record in system implementations or process improvements

Salary range: 289,788 Ron - 392,067 Ron
