POSITION SUMMARY
The Food & Beverage Purchasing and Receiving Manager at Crystal Mountain Resort is responsible for overseeing the efficient procurement, management, and distribution of food and beverage products within the resort's F&B operations. This position ensures a smooth supply chain, maintaining inventory levels, and managing the receiving and distribution of goods to meet F&B service standards.
The Food & Beverage Purchasing and Receiving Manager is integral in maintaining the supply chain, ensuring quality, cost-effectiveness, and timely availability of F&B products. This role demands a detail-oriented, strategic thinker capable of effective communication, resource management, and personnel leadership to uphold operational excellence at the resort.
ESSENTIAL DUTIES
Procurement and Vendor Management:
- Maintain strong vendor relationships in engaging with approved vendors for par level purchasing.
- Maintain ordering of par systems in agreement with F&B leadership team.
- Weekly management of pars review with F&B leadership team.
Inventory and Ordering Management
- Implement and maintain inventory management systems to maintain stock par levels, delivery and receiving schedules.
- Forecast demand, monitor stock levels, and adjust purchasing strategies for efficient inventory control.
- Oversee the receiving and inspection of all incoming F&B goods, ensuring accuracy, quality, and compliance with set standards and procedures, including the food safety program.
- Coordinate the efficient distribution of products to various resort departments while ensuring proper handling and storage protocols, including tracking documentation in the flow of food.
- Implement and maintain rigorous quality control measures through regular inspections and immediate resolution of non-compliance issues, including but not limited to, an expiration list, food safety documentation, and corporate safety requirements.
- Supervising and entering transfers, waste sheets, and internal/external requisitions, including entering invoices for purchases made to manage par levels.
- Updating inventory templates and supervising physical inventory.
- Conduct training sessions to ensure staff awareness of best practices, including FOODTRAK.
- Responsible for the transfer of monthly information, such as inventory counts.
- Generate regular reports on purchasing activities, inventory levels, and cost analyses to assess performance and identify areas for improvement.
- Analyze data to make informed decisions, improve processes, and support strategic planning.
Budgeting and Cost Control
- Monitor expenses, analyze variances, and propose cost-saving strategies without compromising quality.
- Manage purchasing based on budget expectations set by F&B leadership and the budget access allowed.
Staffing
- Hold daily standup meetings with purchasing and receiving team.
- Attend weekly F&B leadership meetings to present updates on purchasing, shipping, and receiving.
- Manage all staff labor schedules, posted two weeks out, and timekeeping daily.
- Present employee opportunities and successes to F&B leadership team for support with HR and growth.
- Maintain all training requirements for staff, including but not limited to, food and beverage safety certifications and work with HR to upload into the employee’s Workday profile.
QUALIFICATIONS, KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS
- Proven experience in F&B procurement, inventory management, and logistics within the hospitality or F&B industry.
- Strong negotiation, communication, and relationship-building skills with vendor delivery and internal stakeholders.
- Proficiency in inventory management software and tools for data analysis, such as Food Trak.
- Knowledge of health and safety regulations, quality control standards, and compliance requirements.
- Excellent organizational and leadership abilities to manage a team effectively.
- Analytical mindset, problem-solving skills, and a proactive approach to process improvement.
- Able to communicate effectively in writing and verbally across all levels of the organization.
- Able to make independent judgments which have considerable impacts on the organization.
- Advanced user with Microsoft Office suite.
- Microsoft D365 experience preferred.
EDUCATION & EXPERIENCE
- High School diploma or GED, with at least 1 year experience in Food and Beverage.
- The combination of education and experience may be combined to satisfy educational requirements.
KNOWLEDGE/ABILITY REQUIREMENTS
- Minimum of 3 years of progressive experience in a similar role.
- Experience in hospitality, travel, or experiential brand is strongly preferred.
- Must possess strong food safety knowledge and demonstrate ability and desire to promote all food handling guidelines as dictated by Washington State law.
- This position is required to have a valid driver's license.
- Must have a valid Washington State Food Handlers card.
- Must be able to lift 50+ lbs. properly and safely.
- Must be able to safely maneuver up to 160lbs.
- Must have a means for communication to Manager while on duty.
- Must have intermediate or better ski/snowboard skills.
