Position Summary: The College of Performing and Visual Art’s Director of Recruitment Enrollment is the leader in all aspects of undergraduate and graduate recruitment and enrollment and is instrumental in creating and advancing the College’s strategic enrollment plan. The Director of Recruitment Enrollment is the face of the College and the first point of contact for prospective students and their support people. The position works with prospective students, undergraduate and graduate, to inform them about PVA academic programs, connect them to department faculty, and to elucidate the college search process. The performing and visuals arts admission process is quite nuanced and complicated with a myriad of moving parts. The Director must not only have extensive knowledge of the process, but a clear understanding of all the complexities that go into prospective students’ decisions when deciding which prestigious performing or visual arts program to attend. Such factors can include: the way in which a recruitment representative communicates with the student and if they understand them as an artist, the importance of getting to know the faculty they will be learning from, the amount of private instruction offered, a sense of community and belonging, performance/exhibition opportunities, scholarships, and more. The Director of Recruitment Enrollment also advises individual Schools within the College of Performing and Visual Arts on best recruitment and enrollment practices and provides guidance to departments in setting enrollment goals. The Director of Recruitment Enrollment works with UNC’s Office of Admissions to align the College’s recruitment goals with that of the University. The Director of Recruitment Enrollment develops and implements recruitment events, including college and school-specific events such as Exploring Arts Day, High School Theatre Festival, PVA Open House, and more. This position is also responsible for the coordination, scheduling, and execution of the School of Music and School of Theatre Arts Dance’s Audition Days. The Director of Recruitment and Enrollment plans and hosts 6-7 Audition Days annually so that over 1500 prospective students can audition and/or interview for their chosen program, experience campus, and interact with faculty, staff, and current students. A prospective student’s experience on the audition day is often a main determining factor in their college decision, so it is crucial the Director of Recruitment Enrollment have a sharp attention to detail, ability to utilize technology for the intricate scheduling process, and possess an overall dedication to the student experience. In addition, this role develops and maintains recruitment and enrollment data and creates and manages information systems to track recruitment efforts. It is crucial the Director of Recruitment Enrollment make data-informed recruitment and enrollment decisions, by monitoring yield numbers, creating program benchmarks, and keeping up to date on national enrollment trends. As a part of the enrollment portion of the position, the Director of Recruitment Enrollment works with each School Director to determine effective yield strategies unique to each program and collaborates with the Director of Advising to minimize student melt and maximize student engagement between the point of confirmation and enrollment. Fiscal responsibility is key for this position as the Director of Recruitment Enrollment manages the PVA recruitment budget as it relates to events, travel, student employment, swag purchases, etc. It is pertinent the Director closely monitors the budget and makes fiscal decisions that benefit the college and schools equally. The Director of Recruitment Enrollment directs the PVA Ambassador program, supervising and providing professional development for a team of student staff. In addition, the position will supervise and guide a Graduate Assistant and Student Faculty Support Specialist who will aid in recruitment and enrollment efforts. The Director of Recruitment Enrollment chairs the PVA Recruitment Committee and leads the efforts in analyzing and improving the College’s recruitment practices, events, and communications. This position also participates in all PVA Leadership meetings and service efforts. The variety of tasks and level of decision making assigned to this position demands a strong work ethic, fiscal responsibility, ability to work autonomously and collaboratively, and a passion for furthering the College’s mission and values. Job Duties: Strategic Enrollment Planning and Implementation Works with the Dean and Directors of Theatre, Music, and Art Design to create and annually revise college recruitment goals. Educate individual PVA departments on best recruitment practices and provide guidance in setting department-level recruitment and enrollment targets. Track and interact with students and their support people throughout the admission process. Work with the Office of Admission to create, implement, and maintain college and department specific messaging to all prospective students and support people. Coordinate PVA’s involvement in UNC’s undergraduate recruiting events such as Experience UNC, Destination UNC, Honorable Scholar’s Banquet, Academic Program Visits, etc. Represent UNC/PVA at in and out-of-state college fairs and recruitment events. This role travels anywhere between 5-15 cities annually. Attend and recruit students at industry conferences and conventions. Scheduling and attending high school visits across Colorado in order to recruit students for Music, Theatre, and Art. Facilitate faculty interactions with prospective students. Collaborate with the PVA Communications Specialist in the creation of recruitment materials, social media, and web content. Provides content to the PVA Communication Specialist and University Relations on recruitment and enrollment initiatives for college. Work with the PVA Communication Specialist to strategize and analyze campaigns to determine efficacy in driving recruitment and enrollment. Works with the Office of Admission, Office of Equity Inclusion, and School of Theatre Arts Dance’s Student Equity Advisory Board to develop a plan to engage students from minoritized and underrepresented backgrounds and identities. Meet bi-monthly with the Dean to review strategies, report on activities, and present analytics. Provide guidance to and collaborate with faculty on recruitment related initiatives in the Schools of Music, Theatre, and Art Design. Work with the Directors, PVA Dean’s Office and PVA Scholarship Coordinator to determine scholarship awarding strategies, best practices and communications. Consults with Directors to determine award recipients. Analyze previous admissions scholarship strategies for success or need for improvement. Music and Theatre Admissions/Auditions Plan, schedule, and host Audition/Scholarship days for the School of Music and School of Theatre Arts Dance. Manage a complicated schedule of in-person, online, off-campus, and out-of-state conference auditions, with attention to area schedules, and venue availability. Coordinate all aspects of the event. Schedule and set-up audition rooms for faculty. Recruit student volunteers to assist with Audition days. Following each audition day, communicate with prospective students regarding their acceptance status in a timely manner. Direct and coordinate continued communication throughout the spring and summer in order to decrease melt rates. Schedule and track auditions for theatre and music students. 1500+ students annually. Work with the Office of the Registrar and Office of Admissions to code admitted students. Work with the Assistant Director of Recruitment Systems in the Office of Admissions to assess, change, and update the Supplementary Music and Theatre applications, communications, faculty review forms, and intent forms. The Director of Recruitment Enrollment is responsible for building communications and applications in UNC’s CRM system, Slate. Work with Director’s and/or faculty to provide information to applicants about the talent scholarship process and decisions. Prospective Student and Support People Engagement Serve as the College’s first point of contact for all prospective students and their support people and make decisions on how best to promote the College to students. Communicate the value of an Arts and Liberal Arts education to a variety of constituents (e.g. students and their support people, faculty, staff, and other stakeholders). Communicate to prospective students the many University and PVA admissions and audition/portfolio processes, expectations, and deadlines.\ Correspondence with prospective students and their support people via phone calls, e-mails, Facebook, Instagram, texting, etc. Manage applicant communications from initial application to enrollment. This includes, but is not limited to, the creation and generation of emails regarding missing materials, auditions, decisions, confirmation, and enrollment. Provide college presentations for individual schools and groups. Assist with student-oriented events as needed including Orientation and New Student Days. Event/Visit Planning and Management Coordinate group and individual visits to PVA facilities. These visits often consist of 1:1 meetings, facilities tour, class visits, and faculty meetings. Plan, execute, and lead the School of Art and Design’s recruitment event called Exploring Art Day with support from the PVA Communications Specialist. Plan, execute, and lead the School of Theatre Arts and Dance’s recruitment event called High School Theatre Festival with support from the PVA Communications Specialist. Receive prospective student visit inquires and coordinate “Shadow Days.” These visits consist of pairing them with a current student host in their major of choice in which they attend classes with, a dining hall experience, and appointments with faculty. Supervision Supervise student workers to provide front-line customer service related to admissions, general information, facilities tours, coordination of application materials, and coordination of prospect visits. Lead and delegate tasks to Graduate Assistant(s) as it relates to their role in recruitment and enrollment. Delegate recruitment tasks and projects to the Student Faculty Support Specialists. Provide leadership development for the PVA ambassadors and/or Graduate Assistant(s). Lead annual recruitment and selection process for the PVA Student Ambassadors. Organize and run team-building activities, service-learning projects, and leadership opportunities. Plan and run monthly meetings. Budget Management Manage and track Recruitment budget and make strategic decisions on expenditures. Collect and assess faculty recruitment proposals and make decisions on how much they are allotted for their proposed event/recruitment trip. Manage student worker budget and determine the number of weekly hours that can be scheduled. Create, order, and track supplies of recruitment swag items with the Recruitment Enrollment budget in mind. Data and Report Management Determine college recruitment targets through analysis of current school needs and historical data (applicant numbers, admit rates, and yield rates). Manage recruitm ent and enrollment data via the web-based admissions platform, Slate and Airtable. Demonstrate awareness of national trends in student identification and tracking related to performing and visual arts student recruiting, including analytics, use of websites, marketing collateral, and social media platforms. Provide a monthly recruitment and enrollment report to the Dean, Associate Dean, Directors, and faculty. Create and maintain a list of prospective students from local, regional, and national high schools, universities, and geographic regions. Maintain records over multiple years (made available to administrators and faculty), which tracks progress and long-term data trends. Keep up-to-date reports (Slate queries) and let them inform recruitment and enrollment decisions. Maintain historical data of all auditionees so faculty can refer back to them. Build and maintain necessary databases in Airtable. (e.g – STAD Admissions, SOM Admissions, SoAD Admissions, PVA Visit/Meeting Requests, PVA Confirmed Student Database, PVA Recruiting, and Outreach) Minimum Qualifications: A Bachelor’s degree is required One to two years of recruitment related experience Proficiency in Microsoft Office Suite applications Excellent public speaking Written and interpersonal communication skills Budget management Attention to detail Strong work ethic A high degree of energy Ability to multitask Ability to meet deadlines Willingness to travel Preferred Qualifications: A BA/BFA in art disciplines and/or a master degree is preferred Direct recruitment experience in the arts Experience managing website content Experience managing social media accounts for organizations or businesses Experience organizing and/or marketing events Experience working with large databases Experience working with web-based admission platforms [e.g., Slate] Demonstrated experience of successfully engaging with diverse communities.
