The School of Nursing & Healthcare Leadership (SNHCL) has an outstanding opportunity for an Admissions and Time Schedule Program Coordinator.
About this Opportunity
Reporting to the Academic Services Director, the Admissions and Time Schedule Program Coordinator (payroll title: Program Coordinator (NE S SEIU 925 Non Supv)) is responsible for the processing and managing of SNHCL undergraduate/graduate admissions, quarterly time schedules, curriculum coordination & record management, program support, and data management. This position requires thorough understanding of UW Tacoma’s SNHCL undergraduate and graduate admissions process, and UW Tacoma’s time schedule course scheduling process.
Key Responsibilities
- At the direction of the Academic Services Director, advise pre-major and prospective undergraduate students about application, admission, and degree requirements.
- Manage and process undergraduate and graduate applications, input data, track applicant status, and determine admissibility, and prepare applicant files for faculty review process. Communicate offers of admission or denial for undergraduate and graduate students and manage waitlist.
- Work with the various curriculum committees on admission criteria as informed by Revised Code of Washington (RCWs), and Washington Administrative Codes (WACs), and accrediting bodies.
- Input all quarterly courses into the time schedule listings for nursing, healthcare leadership and health courses. Resolve course scheduling conflicts and teaching assignment details to ensure an accurate and complete time schedule.
- Process all classroom assignments and special requests.
- Track teaching assignments; input and track curriculum changes in the university curriculum management system. Maintain curricular records and processes
- Support academic programs, student services, and operations as assigned. Act as the liaison to campus and university curriculum and registration offices.
- Manage and facilitate membership and postings to all program student email listservs.
- Provide backup to other staff as necessary; respond via phone, email, and in-person to inquiries from faculty, staff, students, and other visitors, providing assistance in resolving issues.
- Perform complex queries, collect and integrate statistical data, and produce reports for accreditation, DOH, and other entities that request data from the school.
- Participate in data collection and maintain statistical reports using UW databases and systems (e.g., MS Office suite, Slate, etc.).
- Maintain the prospective student database by identifying student application progress, adverse trends, and appropriate recommendations.

Minimum Qualifications
- High School graduation or equivalent AND 2 years' experience in admissions and time scheduling and/or in higher education student services.
Additional Qualifications
- Exceptionally detail-oriented, with the ability to enter accurate and precise information into databases and data files and the ability to develop and execute systematic approaches to assuring data accuracy and integrity.
- Ability to synthesize and present information concisely and present in an articulate way.
- Proven ability to communicate effectively across all modes of communication, always exercising tact and discretion, and maintaining confidentiality of sensitive information.
- Highly proficient at managing multiple priorities in a high-volume setting, including the ability to respond to urgent data information requests. Ability to exercise good judgment in resolving and troubleshooting issues.
- Ability to demonstrate flexibility with changing priorities.
- Experience and expertise in using Microsoft Office suite.
- Demonstrated ability to exercise initiative, work under minimal supervision, and function effectively and efficiently as a team member.
Preferred Qualifications
- Bachelor’s degree in related field.
- Experience in accreditation in health sciences in higher education.
- Minimum of three years of complex admissions and enrollment support experience, preferably in a research institution of higher education or healthcare setting.
- Knowledge of the following UW Processes or systems: UW Time Schedule Construction, UW Tacoma Admissions, UW Tacoma SIS, UW SDB, UW Curriculum Procedures and Policies.
- Experience working with web platforms.
