Job Summary

The Supervisor Clinic Operations coordinates and supervises daily activities of assigned employees. This primarily includes referral coordination, insurance verification, and financial counseling. The goal is to ensure high-quality, patient-centered care and compliance with policies, procedures, and standards.

Hybrid position: will work onside on occassion at various Cardiology Clinics or at a Heart Hospital location. 

Essential Functions of the Role

  • Supervise and support teams responsible for obtaining insurance referrals and providing financial counseling for multiple cardiovascular clinic locations.
  • Ensure timely processing of inbound and outbound referrals.
  • Oversee financial counseling activities, including benefit verification, cost estimates, financial assistance screening, and patient payment options.
  • Monitor work queues, authorization turnaround times, and patient access metrics to improve efficiency and reduce delays in care.
  • Organizes work in an efficient and cost effective manner, ensuring continuity of service and patient satisfaction.
  • Collaborate with clinic leadership, referral coordinators, financial counselors, and revenue cycle teams to ensure timely patient care, seamless referral workflows, and a positive patient financial experience.
  • Builds teamwork and maintains effective communication with direct reports, peers, other various departments and administration.
  • Provides subject matter expertise for supervised employees. Sets standards for work quality and volume. Monitors work output and coaches for excellence. Identifies opportunities for LEAN applications and implements changes as needed.
  • Serves as part of the work team, performing duties as needed, working alongside those supervised.
  • Ensures employees follow behavior standards, corporate policies, and patient satisfaction standards for internal and external customers.
  • Partners with leadership and necessary departments to investigate, resolve and document resolution of patient complaints concerning services provided by practice.
  • Participates in interviewing, making hiring recommendations, orienting, evaluating, coaching, team building activities, and if necessary, assisting with disciplinary actions.
  • Maintains safety of patients, family members, staff and self during all activities.

 Key Success Factors

  • Experience in healthcare or patient-related services includes physician front office, clinics, and other areas that help patients, like customer service, call centers, or the insurance industry.
  • Supervisory experience is preferred.
  • Demonstrated teaching and mentoring skills are preferred.
  • Must have excellent social skills and handle difficult people and situations. Able to relate to patients, employees, coworkers, senior management, vendors, and the public.
  • Basic knowledge of the revenue cycle.
  • Professional demeanor and appearance.
  • Good problem-solving skills.
  • Able to make tactical choices about allocating and directing supervised employees' work using established guidelines, policies, and procedures.
  • Able to make effective hiring and termination recommendations.
  • Able to train, and evaluate performance of supervised staff.
  • General computer skills include Microsoft Office, information security, scheduling, payroll systems, electronic medical documentation, and email.

QUALIFICATIONS

  • EDUCATION - H.S. Diploma/GED Equivalent
  • EXPERIENCE - 3 Years of Experience
