About The Role
Have a burning passion for music and thrive on bringing live events to life? Kicks Entertainment are looking for two Event Coordinators to join the team behind some of Australia's biggest festivals.
Reporting to the Event Manager, you'll support the planning and delivery of major live events, working across project timelines, operational planning, travel and accreditation, stakeholder coordination, and on-site delivery. You'll play a key role in keeping our festivals running smoothly and safely, ensuring teams and contractors are aligned and ready to deliver exceptional experiences for fans.
We have two full-time, fixed-term opportunities available: one 12-month contract and one 6-month contract, based in Sydney.

What You’ll Be Doing
- Project coordination: Maintain project plans and timelines across allocated events, ensuring key milestones, deliverables, and dependencies are tracked and communicated.
- Stakeholder management: Coordinate with internal teams, contractors, suppliers, and external stakeholders to ensure readiness and delivery against key event dates.
- Meeting coordination: Coordinate stakeholder and safety committee meetings, capturing actions and driving outcomes through to completion.
- Planning systems & documentation: Maintain systems and detailed operational plans to support safe and compliant delivery across all areas of the event including crowd planning, emergency management, artist management, accreditation and welfare, ticketing and entry, guest services, accessibility, and contractor plans – ensuring all requirements align with relevant legislation and regulations.
- Travel, accreditation & welfare: Coordinate travel arrangements for the internal team, casuals, and stakeholders, while also leading the development of accreditation and welfare plans for event staff.
- On-site delivery: Support the Event Manager and the wider Planning and Operations teams with on-site administration, event logging, the set up and coordination of on-site event offices, and general event delivery.
What You’ll Bring
- Events experience: Minimum 3 years' experience in event coordination, event administration, or a similar project-based role, ideally within live events, festivals, or entertainment.
- Organisation skills: Exceptional organisational skills with the ability to manage multiple projects, competing priorities, and tight deadlines simultaneously.
- Attention to detail: A meticulous approach to planning and documentation, with a commitment to accuracy and high standards.
- Communication skills: Strong written and verbal communication skills, with confidence working across teams and with external stakeholders.
- Systems capability: Strong working knowledge of Microsoft Excel and Google Sheets, with the ability to manage and maintain detailed planning documentation.
- Adaptability: Comfortable working within a fast-paced environment and remaining calm under pressure during busy event periods.
- Travel flexibility: Availability and willingness to travel for extended periods during event delivery, particularly throughout peak festival periods, i.e. between October and December
- Relevant qualifications: Tertiary qualifications in Event Management, Travel Management, or a related discipline are preferred, while experience within the music or events industry will be highly regarded.
