The Aerospace Corporation is seeking an Executive Administrative Assistant (EA) to provide support to the Executive Vice President (EVP). As an integral member of the Corporate Leadership Team and organizational focal point, the EA will ensure that administrative functions enable and achieve operational efficiency and organizational effectiveness. This role supports the EVP with enterprise and Board of Directors related coordination that involves highly sensitive and confidential information management. The EA works collaboratively with the CEO’s office and broader administrative teams to provide exemplary customer service to our workforce, external partners, and customers.  

This position is located in El Segundo, CA., requiring at least 4 days onsite.

 

What You Will  Be Doing 

  • Serve as the lead executive administrative coordinator for the front office on the corporation’s El Segundo campus: this role is the front-line interface for internal and external connections to  the  executive team and will facilitate a professional and formal representation of our values and brand 

  • Engage and coordinate with senior leaders, various levels of management, Board of Trustees, external partners, and customers  

  • Organize and prioritize critical issues and information to facilitate responsiveness and efficient decision making​ 

  • Lead special projects, tracks, manages, and develops plans to achieve milestones within schedule  

  • Establish and maintain administrative organization structure of meeting notes, briefings, white papers, and decisions for the EVP 

  • Establish and continuously improve upon administrative processes and introduce best practices that enable and achieve operational efficiency and deliver optimal customer service 

  • Manage group, corporate, and customer reports/deliverables/org charts (compile/edit/publish) 

  • Prepare and send correspondence, emails, letters, presentations on behalf of executive(s)  

  • Provide input on corporate and organizational activities and decisions, with follow-up communications and coordination

  • Execute proactive, and complex calendar, meeting, event planning, and data management 

  • Develop and manage EVP travel planning and expense reporting 

  • Provide mentoring, training, and coverage when needed for the broader administrative team   

 

What You Need to be Successful 

Minimum Requirements: 

  • High School Diploma, GED or equivalent 

  • Prior experience providing C-Suite/Executive level administrative support 

  • Mastery of administrative skills: project management, organization, attention to detail, exceptional and professional communication skills (verbal and written) 

  • Expert-level technological fluency in Microsoft Office applications (i.e., Outlook, Excel, Word, PowerPoint, Teams, SharePoint) with confidence (and demonstrated ability) to quickly learn and navigate new technology platforms 

  • Mastery of communication and  interpersonal skills: leadership, collaboration, proactive problem-solving, emotional intelligence, judgment, business acumen, and decision making 

  • Ability to rapidly adapt to changing environments and anticipate executive, team,and organization needs 

  • Ability to manage and protect highly sensitive and confidential information  

  • Ability to work independently,  proactively deliver innovative solutions, and resolve issues with minimal direction 

  • Ability to obtain a TS/SCI security clearance , which is issued by the US government. US citizenship is required.

 

How You Can Stand Out  

It would be impressive if you have one or more of these: 

  • Current/Active TS/SSBI/SCI security clearance  

  • Experience with modern tools for collaboration and office software; basic familiarity with AI tools 

  • Experience conducting data analysis 

  • Financial acumen 

  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices 

  • Experience with customer relations or customer service 

  • High energy, motivated, and willing to solve problems in ambiguous conditions when needed

We offer a competitive compensation package where you’ll be rewarded based on your performance and recognized for the value you bring to our business.  The grade-based pay range for this job is listed below.  Individual salaries within that range are determined through a wide variety of factors including but not limited to education, experience, knowledge and skills.

$50.40 - $75.60

Pay Basis: Hourly
