Intrepid is a specialty investment bank and provides M&A, capital raising and strategic advisory services to entrepreneurs, family-owned companies, private equity sponsors and major corporations, through dedicated banking teams with deep industry sector experience and over three decades of experience. The firm is based in Los Angeles, with additional offices in San Francisco, New York, Chicago, and Charlotte. Intrepid is the middle-market advisory arm of Mitsubishi UFJ Financial Group (NYSE: MUFG), one of the largest financial groups in the world.
The selected colleague will work at an MUFG office or client sites four days per week and work remotely one day. A member of our recruitment team will provide more details.Intrepid Investment Bankers is seeking a highly organized, client-focused Administrative Assistant to provide advanced administrative and analytical support to senior leaders and the broader team. This Charlotte based role is critical to ensuring seamless day-to-day operations, supporting complex projects, and delivering a hospitality forward internal and external client experience.
Key Responsibilities
- Serve as the first point of contact for incoming calls and visitors, providing a professional and welcoming experience
- Manage office operations, including maintaining conference rooms, common areas, and supplies, and ensuring the office is fully operational each day
- Coordinate with support teams such as building security, facilities and housekeeping to ensure all office operations are running smoothly
- Oversee calendars, schedule meetings, and coordinate conferences, events, and travel arrangements
- Coordinate large and recurring meetings, including agendas, materials, and logistics
- Conduct research and data analysis for ongoing and special projects
- Respond to internal and external inquiries, including those requiring interpretation of policies, procedures, or complex information
- Maintain a strong understanding of firm processes, products, and policies to support the team effectively
- Process expense reports, accounts payable, and other administrative transactions
- Manage travel logistics and create travel itineraries
- Assist with budget tracking and expense monitoring; research and resolve discrepancies
- Support records management and other operational processes
- Partner with HR, as needed, to coordinate interviews, onboarding, and personnel records
- Provide general administrative and project support across the office as priorities evolve
Qualifications
- A positive attitude, collaborative spirit, creative mind, and strong work ethic.
- Self-motivated, problem-solver, and a good communicator with the ability to multi-task
- Effective writing, editing, proofreading, and verbal communication skills.
- Strong proficiency with Microsoft Office Suite, specifically Outlook, PowerPoint, and Excel.
- Bachelors or Associates degree preferred but not required.
The typical base pay for this role is $30 per hour to $33 per hour depending on job-related knowledge, skills, experience, and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
