Summary
The Transportation Operations Coordinator is responsible for overseeing the day-to-day activities of the organization’s transportation and logistics functions. This role ensures that all shipments are scheduled, monitored, and executed efficiently while maintaining compliance with safety standards and regulatory requirements. The coordinator works closely with drivers, carriers, vendors, and internal teams to support a streamlined supply-chain operation.
Duties and Responsibilities
Plan, schedule, and monitor inbound and outbound shipments.
Optimize routes to reduce costs and improve efficiency.
Coordinate with drivers, carriers, vendors, and internal teams to ensure timely deliveries.
Maintain transportation documentation (BOLs, invoices, manifests).
Compile daily/weekly reports on transportation activity
Serve as the main contact for drivers, dispatch and customers.
Communicate delivery updates and resolve any service-related problems.
Ensure excellent customer service throughout the delivery process.
Ensure compliance with DOT, OSHA, and company safety policies.
Maintain records of driver qualifications, vehicle inspections, and regulatory documentation.
Promote safe and efficient transportation practices.
Assist in negotiating rates with carriers and third-party logistics providers.
Qualifications
Experience in transportation, dispatching, or logistics coordination.
Good organizational and multitasking skills
Good Data entry and documentation
Good communication skills, both written and verbal
Excellent problem-solving skills.
Ability to flow between deadlines and projects.
Ability to work with multiple cross functional teams.
Training Programs and Regular Business Meetings
With appropriate notification, the Transportation Coordinator agrees to attend and participate in all career specific seminars, training courses, industry related certification programs and internal company training and or meetings recommended or scheduled by the business owner/operator.
General Conduct
It is the responsibility of the Transportation Coordinator to always conduct him/herself in a professional manner. This includes the agreement not to use any foul or objectionable language towards any customer, vendor, co-worker or employee. To refrain from any negative comments about any customer, vendor, competitor or employee. As a Transportation Coordinator, you are expected to maintain composure with all customers, vendors and employees at all times and to carry out all defined duties in a professional manner.
Education and/or Experience
High School Diploma
Relevant experience working in logistics, supply chain, transportation or dispatching. (2+ years)
Valid Class A CDL.(2+ years)
Knowledge of transportation regulations and safety standards.
Excellent Business English and communication skills
Experience dealing with all major shipping companies (e.g. UPS, Fedex, etc.)
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to handle or feel; reach with hands and arms; and talk or hear. The employee is regularly required to stand; walk; and stoop, kneel, crouch or crawl. The employee is occasionally required to sit and climb or balance. The employee is occasionally required to walk stairs and/or climb ladders. The employee must occasionally lift and/or move objects up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
