As a Scheduling Coordinator, you will oversee provider schedules and appointment coordination to optimize the client experience and maximize service efficiency. Working closely with clinical teams, Client Contact Services, and leadership, you will help maintain accurate schedules, support caseload management, and ensure clients receive timely access to services. Scheduling Coordinators may support a variety of programs, including Psychiatry Services, Outpatient Services, Psychological Testing Services, Recovery Services, and Community Services.

Key Responsibilities:
- Build, maintain, and update provider schedules within the organization's electronic health record (EHR) system.
- Coordinate scheduling activities for designated programs and service lines.
- Review provider schedules for accuracy and identify scheduling conflicts or errors.
- Collaborate with Client Contact Services to resolve scheduling issues and maximize appointment utilization.
- Assist with caseload management and maintenance activities as assigned.
- Coordinate program-specific appointments and scheduling needs for clients.
- Work closely with clinical teams regarding caseload management, schedule utilization, attendance policies, and discharge procedures.
- Communicate available appointment openings to Client Contact Services staff to support timely scheduling.
- Generate and distribute scheduling and utilization reports for designated departments.
- Collect and organize data to support program evaluation, operational needs, and management requests.
- Maintain accurate scheduling records and updates within the electronic health record system.
- Attend required meetings and participate in departmental initiatives.
- Ensure compliance with HIPAA regulations and organizational confidentiality standards.
- Provide exceptional customer service when interacting with clients, providers, colleagues, and community partners.
- Perform additional duties as assigned.
Education and/or Experience Qualifications:
- High school diploma or GED required.
- Experience working in an office, healthcare, behavioral health, scheduling, customer service, or administrative support environment preferred.
- Experience utilizing electronic health records, scheduling software, or database systems preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and other business applications preferred.
- Experience coordinating schedules, appointments, or calendars is highly desirable.
Required License/Certification:
- Valid driver's license, acceptable driving record, and current automobile insurance required.
- Ability to successfully complete all required background screenings and employment requirements.

Employment Requirements:
- Successful completion of background screening, including criminal history, driving record, abuse/neglect, and fingerprint checks.
- Completion of New Hire Orientation upon hire.
- Completion of all required training, including Relias training, upon hire and annually thereafter.
- Compliance with all organizational policies, procedures, and confidentiality standards.
- Current driver's license, acceptable driving record, and proof of automobile insurance.
Physical Requirements:
- Ability to perform sedentary work, including sitting for extended periods throughout the workday.
- Frequent use of hands, fingers, and arms for typing, data entry, and operating office equipment.
- Ability to occasionally stand, walk, bend, reach, and lift office materials weighing up to 10 pounds.
- Visual ability to read documents and work on computer screens for extended periods.
- Ability to communicate effectively in person, by phone, and through electronic communication methods.
- Sedentary work may require occasional walking or standing; all other sedentary work criteria apply.
