Job Description
This position focuses on supporting new applicants completing the Knowledge Assessment, submitting the FAFSA, registering for first-semester courses, and understanding key enrollment requirements. The ESP works closely with prospective and newly admitted students to guide them through the enrollment process and must be proficient in the
Customer Relationship Management platform, IvyConnect.
The role is cross-functional and includes support in admissions, recruitment, financial aid, registration and records, and bursar-related processes. The ESP helps students resolve transactional needs, manages a student caseload, and supports efforts to increase student
engagement, improve conversion rates, and move applicants successfully through the enrollment process to registration.
Pay: $40,000 - 45,000 per year
Location: Primary office location will be Crown Point but frequent travel to East Chicago and Gary will be required.
Schedule: Primarily Monday-Friday daytime hours, in person at a campus location. Some weekends or evenings may be required for special events or during peak times.
Major Responsibilities:
Serve as a daily resource for applicants by providing walk-in and phone support related to college admissions and enrollment.
Manage assigned Opportunity caseloads in a way that supports applicant conversion, including daily review of the personalized Enrollment Specialist Dashboard.
Maintain and monitor case notes in electronic student record systems to ensure accurate and timely documentation.
Assist students with the registration process, answer registration-related questions, and help students navigate Degree Tracker and Schedule Builder.
Participate in shared projects and support the planning and execution of campus events. including enrollment events, recruitment fairs, high school visits, and other outreach activities.
Answer questions and assist students with assessment-related processes, including Knowledge Assessment questions and the review or application of assessment waivers.
Make appropriate referrals to resources such as study materials, the Tutoring Center, or Academic Advising.
Answer general financial aid questions and refer students to the Financial Aid Office when needed for verification, loan eligibility and requirements, standards of academic progress, state and federal awards, scholarships, and work-study opportunities.
Assist students with college-related transactions to reduce the need for transfers between departments.
Escalate more complex questions or issues to the appropriate functional experts when needed.
Work closely with the Director of Admissions/Enrollment to support departmental goals, student outreach, and enrollment initiatives.
Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA), other applicable regulations, and professional standards. Support admissions-related responsibilities, including student outreach, recruiting efforts, application follow-up, enrollment support, and other duties connected to the admissions process.
Promote and market events to Opportunities through Modern Campus/Signal Vine, email, and phone calls.
Assist with developing student outreach campaigns to encourage students to complete next steps, register for classes, and attend enrollment events.
Engage in behaviors that help create an environment where all students, staff, and visitors feel valued, supported, and respected.
Perform other duties as assigned that are logically related to the position and support the department's needs.
Education, Experience And Other Requirements:
The ESP must be available to provide services at the Lake County Campus, which includes Crown Point, East Chicago, and Gary locations.
Bachelor's degree is required with one (1) to three (3) years' related work experience OR associate degree with three (3) to four (4) years' related work experience
Two years of experience in customer relations, recruiting, or sales are essential Prior experience in K-12 or higher education is preferred
Leadership experience to solve challenges and provide solutions for improvements is essential
Experience in technical platforms (Teams, Zoom, CRM, Microsoft Office, Banner)
Ability to take initiative and complete tasks Ability to exercise independent judgment related to college policies
Flexibility to attend meetings or events after normal working hours
