Grants Administration Specialist
Position Summary
The Grants Administration Specialist plays a key role in advancing the mission of Boys & Girls Clubs of Greater Dallas (BGCD) by supporting the full lifecycle of institutional funding. This position is responsible for researching funding opportunities, assisting in the development of grant proposals, and ensuring accurate tracking, compliance, and reporting for awarded grants.
This is a hybrid role (four days in-office, one day remote per week) based in Dallas, TX. The salary range for this position is $62,000–$69,000 annually, commensurate with experience.
As a member of the Advancement team, the Grants Administration Specialist collaborates closely with program, finance, and development staff to help secure and steward funding from foundations, corporations, and public agencies. This role is ideal for a detail-oriented professional with strong writing and organizational skills who is looking to grow in nonprofit development and grants management.
Key Responsibilities (Essential Job Functions)
- Research and identify prospective grant opportunities aligned with BGCD’s mission and strategic priorities.
- Support the development, writing, and editing of grant proposals, applications, and letters of inquiry.
- Coordinate the grants administration process, including submission tracking, documentation, reporting deadlines, and renewals.
- Maintain and update a comprehensive grants calendar to ensure all deadlines and compliance requirements are met.
- Collaborate with internal teams to gather program data, budgets, narratives, and outcomes for proposals and reports.
- Assist in monitoring grant compliance to ensure adherence to funder guidelines and organizational standards.
- Track grant activity and outcomes; support preparation of reports and internal dashboards.
- Maintain accurate records in Salesforce or other grant management systems.
- Support stewardship efforts by preparing grant reports and helping maintain positive funder relationships.
- Utilize AI tools and technology platforms to enhance research, content development, and workflow efficiency.
- Stay informed on grants management best practices and nonprofit funding trends.
Skills & Qualifications
- Bachelor’s degree from an accredited college or university required.
- 1–3 years of experience in grant writing, nonprofit development, or a related field preferred.
- Strong written communication, editing, and proofreading skills with attention to detail.
- Excellent organizational and project management skills with the ability to manage multiple deadlines.
- Familiarity with nonprofit fundraising and grant processes preferred.
- Proficiency in Microsoft Office; experience with Salesforce or similar CRM systems is a plus.
- Comfort using AI tools and technology to support research and writing tasks.
- Strong interpersonal and collaboration skills.
- Ability to analyze information and communicate impact effectively.
- Passion for youth development and commitment to the mission of Boys & Girls Clubs of Greater Dallas.
Physical Requirements & Work Environment
- Primarily office-based work with occasional travel to Club sites, community meetings, or funder events as needed.
- Ability to sit, stand, and work at a computer for extended periods of time.
- Ability to occasionally lift and carry materials up to 20 pounds.
