Job Description
Position Profile - Office Administrator ( Shared Services )
Full Time, office-based Calgary.
This position is a multifaceted role responsible for daily office coordination and for providing administrative support to the Human Resources and HRIS teams.
As the first point of contact for employees, visitors, and vendors, the Office Administrator helps create a professional and welcoming office environment while supporting HR corporate operations.
Success in this role requires strong organizational skills, a customer-focused approach, attention to detail, and a solid foundation office administrative processes.
Position Responsibilities
Office Operations
Serve as the main reception contact for visitors, employees, and vendors
Manage calls, inquiries, and corporate correspondence
Maintain professional, organized reception and common areas
Support courier, mail, and office access services
Oversee office operations, supplies, and vendors
Manage office service contracts (e.g., cleaning, maintenance)
Support onboarding logistics, including workspace, badges, and equipment
HR & Benefit Admin Support
Provide administrative support to HR/HRIS team members across Corporate functions.
Maintain employee records, files, and documentation (electronic and physical)
Assist with benefits administration, enrollments/terminations.
Assist in maintaining data within the HRIS system for Benefits
Qualifications & Experience
Diploma or degree in Human Resources, Business Administration, or related field preferred
1-3 years of experience in a administrative or HR support role
Experience in reception and office coordination within a corporate environment an asset
Exposure to HR systems (e.g., Dayforce or similar HRIS platforms) an asset
Intermediate Microsoft Office (Excel, Word, Outlook)

Avoids injury resulting from manual handling tasks, by use of risk assessment, correct mechanical handling equipment and correct manual handling techniques
