
Administrative Assistant CFHC
Job Description
SUMMARY
Provide administrative support to the nursing department and CFHC by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
ADMINISTRATIVE SUPPORT
- Manage medical appointments for CFHC children through timely contact with external and internal providers. Prepare needed paperwork for appointments.
- Monitor all appointments weekly to ensure transportation staffing is adequate.
- Communicate appointment information to internal customers, including child's team and transportation mentors, and to external customers, including caregivers and legal guardians.
- Ensure that all required health appointments (dental, vision and physicals) are current and kept up to date.
- Communicate with therapists and case managers weekly to provide update on appointment information to be included in clients' treatment plans.
- Upload documents into client's EHR timely
- Share medical documentation with internal and external providers to include guardians, timely after appointments..
- Key confidential data into Electronic Health Record for new clients, updates and closed cases.
- Provide supervision to include oversight of training compliance for transport mentors.
- Assist with front desk/reception coverage for CFHC for unplanned staff absences for the administrative team under ASM as long as it does not interfere with medication administration schedule and immediate nursing needs. Planned staff absences will be filled by the above-mentioned team.
- Act as back up with Serious Incident Report completion when QI Coordinator and administrative assistant under ASM are absent (as needed).
- Maintain compliance with HIPAA, regulations, COA, and licensing standards in executing above duties.
SUPERVISION
- Supervise Transport Mentors including regular supervision sessions, timesheets, performance evaluations, and monitoring of required trainings or other documentation.

EDUCATION and/or EXPERIENCE
One year certificate from college or technical school; or a high school diploma and three to six months related experience and/or training; or equivalent combination of education and experience. Ability to understand and effectively use computers and other office equipment.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver's license with acceptable driving record per agency guidelines and proof of auto insurance.
