About the Role:

The Senior Executive Assistant is a detail-oriented, customer-service minded, and meticulous operator who leads logistics, schedules, and calendar management for one or more executive leadership team members and their direct reports. This role adds critical leverage to our executive team through high-level administrative support, strategic calendar management, and the flexibility to drive ad-hoc initiatives that optimize the executives' time.

Over-communication, proactive thinking, and absolute discretion are critical to this role, along with a keen perception of people and situations. The ideal candidate has the ability to “manage the executive” by identifying improvement opportunities, builds strong relationships quickly across both internal and external stakeholders, and possesses an intricate understanding of our business model, corporate strategy, and operational initiatives.
 

Responsibilities:

  • Strategic Calendar & Time Management (40-50% of time): Proactively manages complex calendars, anticipating and resolving scheduling conflicts or overlaps at the drop of a hat while exhibiting strong judgment with micro-decisions.

  • Executive & Board Support (40-50% of time): Coordinates, builds, and project-manages materials for key executive team meetings, Board of Directors meetings, and leadership offsites.

  • Strategic Alignment: Works to understand the intricacies of our corporate strategy and business model in order to confidently participate in key meetings, capture comprehensive notes, and ensure seamless follow-through on action items.

  • Project Management & Support: Manages and executes end-to-end multiple projects simultaneously; takes complete ownership, identifies and fills gaps, and drives initiatives forward with minimal tactical oversight.

  • Cross-Functional Partnership: Conducts projects across a variety of topics, partnering closely with the Project Management Office (PMO) and other internal teams.

  • Executive Advocacy: “Manages the executive” by proactively identifying process gaps, anticipating roadblocks, and suggesting solutions to further augment leadership's day-to-day effectiveness.

  • Communications & Materials: Drafts, edits, and organizes high-impact presentations, reports, and correspondence on behalf of executives.

  • Confidentiality & Compliance: Handles highly sensitive and confidential information with absolute discretion; facilitates and manages key documents across multiple workspaces crucial to our daily operations and contracting.

  • Team Event Logistics: Plans and coordinates logistics for executive team events, including holiday parties, social events, leadership offsites, and milestone celebrations.

  • Travel & Expenses: Runs all travel arrangements for executives as the need arises, coordinating complex end-to-end logistics (air travel, ground transportation, hotels) and managing related expense reconciliation.

  • Team Scaling: Assists with the interviewing, hiring process, and onboarding of new executive team members.
     

Requirements:

  • Bachelor’s Degree or equivalent work experience in a related corporate environment.

  • Core Experience: 6+ years of experience specifically as a Senior Executive Assistant, Project Manager, or an equivalent strategic administrative role supporting C-Suite executives in a corporate environment.

  • Board & Governance Exposure: Proven experience preparing materials for and interacting with a Board of Directors, investors, or high-profile external stakeholders.

  • Project Management Skills: Strong background in managing cross-functional projects, with a track record of driving initiatives from concept to completion with little to no oversight.

  • Business Acumen: Demonstrated capability to quickly grasp complex business models, corporate organizational structures, and strategic goals.

  • Tools & Technology: Expert proficiency in G Suite (Gmail, Docs, Sheets, Slides, Calendar), Slack, and modern project management tools (e.g., Asana, Jira, Monday.com). Experience navigating executive workflows in systems like Workday or corporate ATS platforms is a plus.

  • Communication & Presence: Exceptional verbal and written communication skills with the professional presence required to interface effectively with senior leaders, clients, and partners.

  • Discretion & Trust: Uncompromising integrity and a proven ability to manage highly sensitive, confidential corporate information.

We take into account an individual’s qualifications, skillset, and experience in determining final salary. This role is eligible for health insurance, life insurance, retirement benefits, participation in the company’s equity program, paid time off, including vacation and sick leave. The actual offer will be at the company’s sole discretion and determined by relevant business considerations, including the final candidate’s qualifications, years of experience, skillset, and geographic location. The expected salary range for this position is: 

$78,000.00 - $102,000.00 Annual
