Job Description

The Executive Administrative Assistant will support three Executive Staff Members for Finance,  FP&A Lead, Operations Controller, and the GSM Controller. The ideal candidate must be highly effective working in teams, able to work in a fast - paced environment, and have a high level of proficiency using internal IT systems for travel, purchasing, and communications, as well as MS Office applications including Outlook, Excel, and Power Point.  The Executive Administrative Assistant position requires excellent interpersonal skills, organizational and project management skills, integrity and the ability to handle confidential information in a sensitive and mature manner.

Responsibilities:

  • Manage the schedule/calendars for 3 Executive staff
  • Booking and coordinating itineraries for domestic and international travel
  • Plan and manage travel and logistics for offsite staff meetings
  • Assist with the preparation of Powerpoint presentations using supporting charts and graphs
  • Assist Executive in email management
  • Coordinating meeting agendas and consolidating materials
  • Drive and coordinate Quarterly Communication Town Hall meetings and logistics
  • Manage social events and community engagement for local teams in Austin as part of the Finance Admin team as well as team event planning and logistics.
  • Reconcile purchasing card spending and expense reports
  • Entering purchase requisitions and ordering supplies from Ariba & knowing how to access SAP
  • Maintenance of highly confidential information
  • Apply excellent judgement as a representative of NXP in interactions with NXP MT members, customers, and global teams

Desired Skills/Experience:

  • 10+ years as an Executive Administrative Assistant
  • Highly attentive to detail, thorough and thoughtful approach to work
  • Effective at professionally & productively managing interruptions of work flow with poise, remaining flexible & accessible to minimize disruption
  • Highly effective decision making and ability to prioritize daily tasks, anticipate needs, and propose solutions
  • Highly collaborative and effective in planning and coordination of team and social events
  • Highly proactive in anticipating needs of the SVP and resourceful under pressure
  • Adept and open to learning various new internal IT systems as needed (e.g., Concur, Ariba, SAP)
  • Highly capable with MS Office applications including Outlook, Excel, Powerpoint, Sharepoint
  • Ideal candidates should possess a college degree
