The Facilities Planning & Management Department in the Division of Finance and Administrative Affairs at the University of Wisconsin-Whitewater seeks a Facilities Associate Director  (Facilities Associate Director, FP123).

Job Details:

The Facilities Associate Director is responsible for the direction of the entire custodial team,  grounds, vehicle fleet and warehouse operations for Facilities Planning & Management at the Whitewater and Rock County campuses of UW-Whitewater. This position provides leadership and technical guidance for landscaping, grounds, warehouse, vehicle fleet and custodial services employees and operations, supervising staff, including other managers, supervisors and facilities team members. This position reports to the Chief Facilities Officer and has frequent interaction with leadership across the university. This position requires on-call or off-hour response availability.

Key Job Responsibilities:

1.      Develops priorities, implementation strategies and labor requirements for custodial, grounds, vehicle fleet and warehouse related initiatives and operational service improvements.


2.      Directs the planning and scheduling of custodial, vehicle fleet, warehouse, grounds and landscaping activities, incorporating operational requirements and priorities.

  • Collaborates and coordinates with campus stakeholders regarding facility needs, service requests, event coverage and help plan logistics to serve the University’s mission and meet operational guidelines 

3.      As it pertains to the custodial and grounds aspects of campus capital project work, develops and fosters a working relationship with university staff, project managers, trades and outside contractors while representing staff and residents.

  • Determines scope of work, estimated costs and labor requirements of grounds / landscaping project work

4.      Provides operational and strategic guidance to staff.

  • Performs cost/benefit analyses on products, equipment and services.
  • Complies with all applicable state, UW-System and UW-Whitewater procurement rules and procedures
  • Serves on internal and external committees, work planning groups and other advisory bodies as requested

5.      Determines and directs standards for warehouse/purchasing tracking, vehicle fleet procurement and leasing, building services and grounds projects.

  • Manages building services and grounds related contracts and serves as a point of contact between vendors and the department.  Respond to customer calls, organize corrective action when needed and ensure correct billing and delivery of services

6.      Exercises supervisory authority, including hiring, scheduling, managing conduct and performance, and approving hours worked of all assigned employees in the custodial, grounds, warehouse and vehicle fleet departments.

  • Reviews work place health and safety expectations with employees and provides instruction as needed
  • Develops and enforces policies and procedures and staff compliance with all applicable labor and safety laws
  • Participates in crisis response and continuity of operations planning activities
  • Ensures staff receives all of their system and campus required training

Compensation:

Well-qualified candidates can expect a starting annual salary within a range of $80,000 - $90,000.

Required Qualifications:

  • Bachelor’s Degree and 4 years’ experience supervising custodial, grounds, or facilities maintenance in a professional setting OR 6+ years’ experience supervising custodial, grounds, or facilities maintenance in a professional setting  

  • Ability to attain UW System driver authorization within first week of employment (Driver Authorization)

  • Excellent oral and written communication skills

Preferred Qualifications:

  • Experience in a higher education environment

  • Bachelor’s Degree from a regional accredited college or university in a Facilities or Management field

  • Seven years of experience in a managerial or supervisory leadership position

  • Prior experience developing / managing budgets over $1 million

  • Project management experience in a Facilities related area

Knowledge, Skills and Abilities:

  • Ability to have and maintain a valid Driver's License meeting the criteria for operating a university vehicle

  • Knowledge of occupational hazards and safety standards/precautions pertaining to custodial, grounds and warehouse operations and the ability to read and follow recommendations 

  • Knowledge of custodial and grounds practices including cleaning and grounds related chemicals, their effectiveness and their safe use

  • Knowledge of custodial and grounds equipment, including their capabilities, repair and maintenance needs, and their safe use

  • Ability to work collaboratively with co-workers, staff, and students

  • Ability to interact respectfully with people from diverse socioeconomic, cultural and ethnic backgrounds

  • Ability to work independently, delegate and prioritize workload

  • Ability to manage work requests by planning, prioritizing, scheduling and expediting each request

  • Ability to inspect facilities by climbing ladders, crawling in small places, and reaching very inaccessible areas

  • Ability to manage the day-to-day building services operations of a multi-building facility.

  • Ability to comprehend reports generated from the computer maintenance management system, (TMA)

  • Excellent oral and written communication skills

  • Excellent judgment including sensitivity to personal and confidential information

  • Working knowledge of desktop hardware and standard business software programs (e.g. word processing, spreadsheets, database) and the Internet

  • Attention to detail, proofreading and editing skills

  • Good work habits, such as attendance, punctuality, accountability, thoroughness and resourcefulness

  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
