Plans, organizes and implements recreational programs.

Pool Facility Management
Program Development 

• Develop and maintain a motivated and trained aquatics staff including recruitment, hiring, training, supervising, and retention. 
• Assist in supervision and analysis of the following programs: adult and youth learn to swim programming, American Red Cross certification courses, masters practices, and water exercise 
• Enhance and maintain quality aquatics facilities and equipment 
• Implement annual goals and objectives
• Implement and supervise risk management and safety policies/procedures to industry standards 
• Maintain effective departmental communication (including communicating class/program changes through e-mail, memos, and master catalog) 
• Attend trade shows and industry conferences to stay current on industry trends 
• Maintain and manage program materials and records according to UCSF and business unit policies & procedures 
• Review agreements for licensed fitness programs
• Align program development with department priorities and initiatives 
• Manage the class reservation system (online, phone, in-person) and troubleshoot issues with appropriate parties 
• Adhere to UCSF policies & procedures

Supervises employee performance, career development and adherence to job standards.

• Staff Supervision 
  Hire, orient, schedule, and supervise Aquatics staff including but not limited to:
  • Lifeguards
  • Swim Instructors
  • On-Deck Supervisors
  • Aquatics Group Fitness Instructors
  • Masters Coaches
• Assist the Aquatics Manager in hiring, training, and supervising career/represented Lead Lifeguards 
• Responsible for developing and implementing monthly staff in-service trainings, make-up training assignments, and tracking staff attendance for both aquatics programming and operational staff
• Responsible for weekly staffing schedule and covering shifts during all operating hours for both aquatics programming and operations
• Teach an array of aquatics programming and classes as needed, such as Lifeguard Training and CPR/First Aid courses, swim lessons, water exercise, and masters swimming
• Develop and implement staff policies and procedures under direction of Aquatics Manager
• Maintain records of aquatics personnel certifications, licensing, staff trainings, UC Compliance trainings, and ensuring all staff certifications and trainings are current
• Maintain a system for staff substitutions
• Develop and determine criteria for all employees’ wages based upon UC classifications and market survey 
• Conduct staff performance evaluations and apply corrective action when needed
• Provide and/or lead professional development for staff in the following areas: customer service, skills training, risk management, and customer retention
• Develop and maintain clear communication with all employees 
• Maintain accurate human resources and payroll records
• Maintain accurate staff completion records For UCSF mandatory trainings
• Process timesheets
• Maintain staff policy and procedure manuals 

Selects, trains and supervises staff

Oversees inventory, storage, budget and maintenance of sports and recreational equipment.

Facility and Equipment Maintenance

• Conduct and supervise safety inspections of pools, decks and equipment 
• Assist in ordering and maintaining inventory of equipment, accessories, and chemicals
• Supervise the cleanliness and safety of fitness areas 
• Assist and coordinate the facility closures and repairs with the Aquatics Manager and Facilities Maintenance department (i.e. water balancing, hi clean, cleaning decks, moving equipment, etc.) 
• Develop and maintain risk management involving instructors and participant liability.
• Ensure that liability forms are completed for each class participant 
• Manage and coordinate emergency procedures and actions

Monitors budget and makes budget recommendations to manager for assigned activities / programs.

Financial Management:

• Create quarterly reports with Aquatics Manager; submit summaries, analysis and recommendations of programs including revenue/expense trends, explanations of net gain/loss and if necessary, action plans to mitigate projected losses 
• Assist in monitoring and reporting financial performance including income projections, payroll expenses, equipment purchases, etc. 
• Make recommendations for maintenance and renewal of Aquatics equipment 
• Implement business decisions to meet financial targets
• Reconcile and review monthly expense ledgers 
• Request cost transfers and payroll transfers through the approved method after reviewing ledgers and financials 
• Review monthly member participation data and make adjustments based on department criteria

Assists with appropriate public relations and promotional programs.

Sales, Marketing and Customer Service

 

• Develop and maintain the Aquatics catalog section and website 
• Coordinate program publicity with the Communications Hub
• Provide assistance of an annual marketing calendar including the scope, timeliness, and tracking of promotions.
• Provide assistance with viewing area display cases and other distribution points
• Maintain high visibility of Aquatics services to program participants 
• Collect and analyze customer participation data for growth and retention 
• Provide assistance with substitution and cancellation process for all programs
• Provide assistance with fitness program refunds
• Respond to customer concerns, complaints, suggestions, and praise in a timely manner 
• Provide assistance with program registration, staff substitutions and customer evaluations 

Lifeguarding Program Instruction & Other Duties as Assigned

• Custom design safe and appropriate Aquatics programs based on client/class needs and goals.
• Work Lifegaurd shifts as needed
• Provider of lifeguarding/swim instruction, including substituting for staff 
• Maintain fitness and rescue standards for lifeguards; be able to pass UCSF lifeguard evaluation at any time.
• Participation in Department wide meetings and project teams 
• Collaboration and support with other Department units
