About the role
Gimlet Labs is seeking a Founding Recruiting Coordinator to help build a world class hiring engine during a critical phase of company growth. In this role, you will own the candidate experience end-to-end, ensuring that every interaction with Gimlet reflects our high bar for excellence, speed, and thoughtfulness.
You will partner closely with recruiters, hiring managers, and leadership to coordinate complex interview processes across technical and non-technical roles. This role is well-suited for individuals who are highly organized, detail-oriented, and excited about helping scale a company at the frontier of AI infrastructure.
What you will work on
Coordinate and schedule interviews across multiple time zones, stakeholders, and functions
Ensure a high-quality, consistent candidate experience with clear communication and timely follow-ups
Partner with recruiters and hiring managers to improve scheduling efficiency and reduce time-to-hire
Maintain accurate data in the applicant tracking system (ashby) and ensure process integrity
Assist with recruiting events, sourcing coordination, and pipeline tracking as needed
Identify and implement process improvements to scale recruiting operations effectively
You may be a good fit if
1 - 3+ years of experience in recruiting coordination, scheduling, or similar operational roles
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Ability to manage multiple priorities and adapt quickly in a fast-paced environment
High level of professionalism and discretion when handling sensitive information
Experience working with applicant tracking systems (e.g., Ashby, Greenhouse, Lever, Gem) and scheduling tools
