Within the Dean’s Office, the Business Services team provides a broad range of financial and administrative support, including guidance on finance, budget, and UT-Austin policies and procedures.
Purpose
This position provides administrative and financial support to the Business Services team, which oversees day-to-day transactional operations for the Dean’s Office and other CNS reporting units. The role contributes directly to the accuracy, efficiency, and compliance of CNS financial operations.
Responsibilities
Provide regular oversight and tracking of account expenditures and budget activity for internal CNS Dean’s Office unit budgets as assigned. Prepare monthly account reconciliations for assigned accounts, including certification of expenditures in the Expense Account Certification System. Process costing allocation business processes in Workday; create, maintain, and update funding commitments; process transfers of funds; and support account and unit code restructuring to ensure accurate financial reporting and budget integrity.
Develop, maintain, and deliver training and onboarding materials for new administrative staff within the CNS Dean’s Office and reporting units. Maintain accessibility and visibility of standard operating instructions (SOIs), policies, and reference materials. Provide consultative guidance to staff, individually and in group settings, on accounting, accounts payable, procurement, and other university business functions to ensure compliance and consistent application of policies.
Manage records retention for the team in compliance with university and state records management requirements. Ensure accurate organization, maintenance, and disposition of financial and administrative records, and provide guidance to staff on records retention standards and best practices.
Assist with analysis, documentation, and streamlining internal administrative and financial processes. Identify efficiency opportunities, support implementation of improved workflows, and contribute to continuous process improvement initiatives across CNS financial operations.
Provide advanced administrative and financial support to the CNS Dean’s Office, exercising independent judgment and demonstrated knowledge of university business policies, procedures, and systems. Serve as back-up to other team members as needed.
Perform other duties as assigned, including supporting special projects and initiatives. Participate in internal or cross-unit efforts that advance the operational, financial, and administrative objectives of the college.
Required Qualifications
Bachelor’s degree in business or related field, and at least six years of progressively responsible financial or accounting experience
Demonstrated strong written and verbal communication skills
Excellent attention to detail, organizational skills and the ability to manage multiple priorities
Ability to communicate administrative information effectively to both technical and non-technical audiences
Strong listening skills and a commitment to customer service
Extensive experience with Microsoft 365 applications
Equivalent combination of relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Bachelor’s degree in business or finance or accounting.
Prior experience working in higher education or academic environment, particularly in finance
Knowledge of UT academic policies and procedures
Salary Range
$70,000 + depending on qualifications
Working Conditions
May work under standard office conditions with repetitive use of a keyboard at a workstation
This position is based on the UT-Austin campus
