What you’ll contribute to

A fantastic opportunity has arisen for a skilled and dynamic Assistant to support the General Manager, Quality & Service, in a maximum term position until 15th September 2027.

The Quality and Service Division handles the planning, coordination, and implementation of customer-focused activities. This includes customer support, establishing service operations, training, field product performance and support, warranty management, quality planning, and engineering. The goal is to enhance customer satisfaction, foster long-term relationships, expand the market, support profitability goals, and strengthen the Toyota brand through optimized experiences, services, and products.

You will oversee the General Manager’s office, ensuring they receive optimal support across all aspects of their role. Your responsibilities will include providing divisional support, managing important projects, preparing essential documentation, and coordinating divisional activities on behalf of the General Manager. A natural multitasker with outstanding interpersonal skills and a broad skill set, you will excel in this role.

This maximum-term position is located at our Altona North office, primarily on-site with some flexibility.

How you’ll make an impact

  • Oversee the GM’s schedule by coordinating appointments, arranging important executive meetings, conferences, and travel, to ensure their time is used efficiently and prioritized effectively.

  • Manage the division's daily operations by overseeing and coordinating all incoming and outgoing correspondence and offering advice on behalf of the GM when appropriate.

  • Manage and coordinate the divisional budget and generate reports to help management monitor and control significant expenses.

  • Ensure the smooth operation of the Quality & Service division by interacting with internal and external stakeholders, addressing queries and issues, escalating matters as needed to minimize risk, and identifying and implementing process improvements.

  • Create and implement systems, procedures, and controls to improve the accuracy, compliance, timeliness, and presentation of the GM’s work in both managerial and management reporting functions.

  • Interact with internal and external stakeholders in a respectful and approachable manner.

  • Outstanding communication and stakeholder management abilities

  • Highly developed business acumen and administrative skills, with a strong capacity for exercising sound judgment, prioritizing tasks, and multitasking with minimal supervision.

  • Exceptional reporting skills (including financial), with meticulous attention to detail and proficiency in a paperless office environment.

  • High learning agility, a flexible work approach, and the ability to take initiative.
