Job Description

We are seeking a highly organized and professional Secretary to join our dynamic team in Beirut, Lebanon. As the backbone of our office operations, you will play a crucial role in ensuring smooth administrative functions and providing exceptional support to our staff and clients.

  • Serve as the first point of contact for visitors, directing them appropriately and maintaining a welcoming office environment
  • Manage incoming and outgoing communications, including phone calls, emails, and correspondence
  • Schedule and coordinate meetings, appointments, and conference calls for executives and team members
  • Take accurate minutes during meetings and prepare concise summaries
  • Maintain efficient filing systems and organize both digital and physical documents
  • Draft and proofread various business documents, including memos, reports, and presentations
  • Manage office supplies inventory and place orders as needed
  • Arrange travel itineraries and process expense reports for staff
  • Safeguard confidential information and maintain secure departmental files
  • Assist with internal communications and support the preparation of presentations
  • Collaborate with team members to streamline office procedures and improve efficiency
  • Proven experience as a Secretary or Administrative Assistant in a professional setting
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent written and verbal communication skills in both English and Arabic
  • High level of proficiency in MS Office suite, particularly Word, Excel, and Outlook
  • Demonstrated ability to maintain confidentiality and exercise discretion
  • Exceptional interpersonal skills with a customer-focused approach
  • Familiarity with modern office procedures, equipment, and software
  • Strong attention to detail and accuracy in all tasks
  • Ability to work collaboratively in a team environment
  • Flexible and adaptable to changing priorities and deadlines
  • High school diploma required; additional certifications in office administration are a plus
  • Knowledge of local business etiquette and customs in Lebanon
  • Proactive problem-solving skills and ability to work independently when needed
