About the Role The Athletics Office Administrator manages daily department operations and financial documentation while serving as the primary liaison with Campus Operations to coordinate team transit logistics. Additionally, this role ensures student-athlete safety by rigorously tracking MAI’s Return to Play policy across all sports rosters and serves as the primary Hudl Account Administrator to maximize the department's sports technology framework. What You Will Do As the Athletics Office Administrator, you will orchestrate daily front-office operations and financial administration by managing vendor invoices, referee payments, tournament fees, and departmental inventory while serving as the primary point of contact for families, vendors, and visiting college coaches. Additionally, you will drive the department's sports technology framework as the primary Hudl Account Administrator—managing user profiles, video archives, and storage quotas—while serving as a vital guardian of student-athlete safety by rigorously maintaining the master compliance tracker for MAI's multi-step Return to Play policy. Who You Are You are a highly organized, tech-savvy professional who thrives on serving as the operational engine of a fast-paced office and a front-facing ambassador for the school community. You are a collaborative bridge-builder who seamlessly translates athletic scheduling needs into clear logistics for operations teams, and you confidently leverage technology to manage databases, spreadsheets, and sports platforms like Hudl. Qualifications • Education : High School Diploma (or equivalent) required; Bachelors Degree preferred. • Experience : Proven experience managing front-office operations, balancing multi-line communication, greeting external stakeholders, and processing financial documentation such as vendor invoices, referee fees, and expense trackin. • Expertise : Demonstrated ability to manage complex calendars, organize event logistics, and act as a collaborative liaison to align departmental scheduling with central operations or transportation systems • Knowledge: Strong technical aptitude with advanced proficiency in office management systems, spreadsheets, databases, and a readiness to manage specialized sports technology platforms like Hudl (including user access and video database management); Documented history of exercising impeccable judgment, maintaining absolute confidentiality, and strictly upholding student privacy regulations while handling sensitive medical and financial data.
