Your role and responsibilities

In this role, you will have the opportunity to provide high-level administrative and strategic support to a Global Leader and a Local Division Manager within ABB's Motion Business. Acting as a trusted partner to both leaders, you will be a key enabler of their effectiveness, ensuring the smooth execution of business activities across a complex and international environment.

Each day, you will engage with a broad and diverse network of internal and external stakeholders and you will be expected to take full ownership of selected processes and programs, demonstrating initiative, sound judgment, and the ability to manage complexity with confidence and discretion.

You will serve as the primary interface between the leaders and their global stakeholder network, ensuring that communications, priorities, and commitments are consistently managed to the highest standards.

You will be mainly accountable for:

  • Assisting the Business Manager in all business-relevant administrative activities, including conducting research, compiling and verifying information, and preparing reports, presentations, organization charts, correspondence, and other documents.

  • Assessing the urgency and complexity of incoming requests via phone, email, and digital channels, initiating appropriate actions or escalating when necessary.

  • Managing complex calendars, meetings, and communications, ensuring alignment with business priorities.

  • Supporting the execution and coordination of specific business processes and programs, ensuring deadlines and quality standards are met.

  • Planning, coordinating, and executing complex international events, including Business line meetings, Town halls, client events managing all aspects from concept to completion.

  • Organizing complex international travel arrangements, including multi-leg flights, accommodation, ground transportation, visa requirements, and detailed itinerary planning, ensuring efficiency and compliance with company travel policies and coordination with speakers and participants.

  • Acting with a high degree of autonomy and discretion, managing sensitive and confidential matters with the utmost professionalism.

  • Building and maintaining strong working relationships with key stakeholders, fostering trust and reliability across the organization.


Qualifications for the role

  • Degree in Business Administration or a related field.

  • Previous experience in an executive or administrative assistant role is considered a plus.

  • Demonstrated experience managing international stakeholder networks and operating effectively across cultural boundaries.

  • Strong organizational skills with the ability to prioritize, multitask, and manage complexity.

  • Proven track record in organizing complex, large-scale events with multiple stakeholders and tight deadlines.

  • Proactive, solutions-oriented mindset, excellent communication skills, and the ability to navigate a fast-paced, multicultural environment.

  • Strong interpersonal and communication skills, with the ability to engage effectively at all levels of the organization.

  • A proactive, can-do attitude with strong problem-solving capabilities and the ability to work independently while knowing when to escalate.

  • Absolute reliability in handling confidential and sensitive information with discretion and integrity.

  • Proficiency with Microsoft Office tools (Excel, PowerPoint, Word) and SAP.

  • Fluency in Italian and English.

Compensation Package 

As part of our commitment to transparency, we want to share the compensation details for this position:

Applicable CBA: Metalmeccanico

Minimum annual salary: €39.000

Variable Pay: Eligible for Company Productivity Bonus
