| SUMMARY |
The Timecard and Payroll Assistant is responsible for ensuring accurate and timely employee time tracking, records maintenance, and supporting payroll processing activities. This role plays a critical part in maintaining compliance, resolving discrepancies, and assisting with payroll administration to ensure employees are paid correctly and on schedule.
| KEY DUTIES & RESPONSIBILITIES |
Timecard Coordination
Review, validate, and process employee timecards for accuracy, completeness, and policy compliance.
Monitor and follow up on missing, incomplete, or incorrect time entries.
Ensure proper coding of hours (regular, overtime, vacation, sick, statutory holidays, etc.)
Maintain and update timekeeping systems and records as needed.
Support Regional Operation Managers, Supervisors and Team Members with time entry questions and system navigation.
Audit time records to identify and correct discrepancies prior to payroll processing.
Generate time-related reports for payroll and management.
Act as a subject matter expert for the timekeeping system to support staff.
Support payroll processing by preparing timecard data for submission.
Verify payroll inputs such as hours worked, pay rates, and deductions.
Assist in processing basic payroll transactions (e.g., new hires, terminations, status changes).
Help reconcile payroll reports and identify inconsistencies.
Respond to Team Member inquiries related to pay, deductions, time entries, and eHub platform.
Assist with the maintenance of accurate payroll records and documentation.
Support processing of expense reports and ad-hoc/work order payments.
Support compliance with employment standards, collective agreements, and company policies.
Payroll Assistance
Support payroll processing by preparing timecard data for submission.

Administrative & Compliance Support
Ensure confidentiality of Team Member payroll and personal information.
Assist with audits by preparing required documentation and reports.
Maintain organized records for timekeeping and payroll activities.
Support continuous improvement in payroll and time tracking processes.
Collaborate with P&C, Finance, and Operations teams to resolve issues.
Other
Other related payroll/administrative duties as required and as assigned.
KNOWLEDGE & SKILLS
1–3 years of experience in timekeeping, payroll, or administrative roles.
Basic understanding of payroll principles and employment standards.
Basic understanding of time and attendance systems and/or payroll systems considered an asset.
Strong attention to detail and data accuracy.
Ability to handle confidential information with discretion.
Problem-solving skills and ability to resolve discrepancies efficiently.
Strong organizational and time management abilities.
Effective communication and customer service skills.
Proficiency in MS Office.

Licenses and/or Professional Accreditation
Diploma or certificate (or in progress) in HR, Payroll, Accounting, or related field considered an asset.
This is a regular, full-time position with a salary range of $42,270 - $49,729 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
