We are currently seeking an experienced Facilities Manager (Soft Services) to join our team supporting a large, high-profile and fast-paced commercial environment in Melbourne’s north. This dynamic site operates at scale and requires a collaborative leader who thrives in a reactive environment where no two days are the same.
Purpose of the Role
Reporting to the Account Manager, the Facilities Manager (Soft Services) will oversee the operational delivery and performance of all soft services across the site, ensuring contractual KPIs, compliance standards, and client expectations are consistently achieved.
This role is ideal for someone who is highly organised, self-motivated, adaptable, and confident managing competing priorities in a busy operational setting. You will work closely with subcontractors, client stakeholders, and the wider BGIS team to drive service excellence, continuous improvement, and strong customer relationships.
Key Responsibilities
- Manage all soft services operations including cleaning, waste, hygiene, pest control, grounds, and security services
- Lead subcontractor performance to ensure KPI delivery, compliance, quality outcomes, and cost control
- Conduct regular site inspections, cleaning audits, and operational reviews using systems such as iAuditor
- Coordinate reporting, service schedules, and operational activities to meet client expectations
- Drive recycling initiatives and continuous improvement in waste management practices to ensure contract KPI’s are met♻️
- Manage budgets, forecasts, invoicing, and financial reporting associated with soft services delivery
- Build strong relationships with clients, suppliers, contractors, and internal stakeholders
- Respond proactively to operational issues, urgent requests, and reactive works across the site
- Ensure compliance with BGIS Quality, WHS, Environmental and operational management systems
- Promote a positive, collaborative, and accountable team culture
Education, Experience & Skills
Essential
- Demonstrated experience within Facilities Management, Soft Services, Property Services, or a similar operational environment
- Proven experience managing subcontractors and service delivery across large or complex sites
- Strong understanding of KPI management, compliance, and operational reporting
- Financial management experience including budgeting, forecasting, and invoice approvals
- Excellent stakeholder engagement, communication, and conflict resolution skills
- Ability to work effectively within a fast-paced and reactive environment
- Strong organisational skills with the ability to prioritise competing operational demands
- Experience using Microsoft Office applications and CMMS platforms
- Knowledge of WHS, QA, and Environmental systems and processes
- A proactive, team-oriented approach with strong accountability and ownership mindset
Desirable
- Qualifications in Facilities Management, Property, or related discipline
- Experience working within integrated services or high-footfall operational environments
- Experience managing waste and sustainability initiatives
- Experience working within large-scale, multi-service contracts
