The Director's Administrative Assistant position within QA requires an individual who can operate with exceptional speed, precision, and independent judgment. This is a highly dynamic environment where priorities shift rapidly, and the ability to manage multiple high‑impact tasks simultaneously is essential. DUTIES & RESPONSIBILITIES:
- Coordinates and tracks all activities related to Production Quality Assurance, ensuring alignment with leadership priorities and operational timelines.
- Manages urgent travel requests, including GA aircraft shuttle, while supporting executive‑level needs with accuracy, discretion, and speed.
- Maintains, processes, and compiles confidential reports, records, statistics, timelines, and presentations requiring exceptional tact and judgment.
- Responds to high‑volume verbal and written inquiries from internal stakeholders and authorized external agencies; triages Teams communications from leadership.
- Coordinates, tracks, and reports progress on unit assignments and projects, ensuring deliverables remain on schedule in a fast‑moving environment.
- Gathers, validates, and synthesizes data from multiple sources to support QA operations, audits, and leadership decision‑making.
- Manages onboarding tasks, systems access, documentation, and coordination to ensure new employees are fully operational on day one.
- Navigates ASI/QA platforms, resolves access issues, and submits/tracks ITS requests to maintain operational continuity.
- Assists employees who arrive with immediate needs while balancing higher‑priority leadership and compliance‑driven tasks.
- Processes and reconciles travel and expense reports with precision, ensuring compliance with financial and audit standards.
- Manages visitor requests, access, and logistics in coordination with security, facilities, and leadership.
- Submits and tracks facilities issues, cleaning needs, and workspace adjustments to maintain a functional and professional environment.
- Oversees office supply inventory, ordering, and purchase requisitions to support daily QA operations.
- Supports strategic initiatives and special projects assigned by leadership while balancing ongoing operational responsibilities.
