CLASSIFIED POSITION: 12-Month Administrative Assistant to Middle School Principal
TITLE: ADMINISTRATIVE ASSISTANT TO MIDDLE SCHOOL PRINCIPAL (12 months)
QUALIFICATIONS: This position requires that the person have:
1. An associate degree in office technology/management is preferred, but a high school education and training with experience will be considered.
2. Must have taken and passed the Administrative Assistant Test given by the district.
3. Proficiency in using word processing, spreadsheet design, desktop publishing, and database programs on a personal computer including speed and accuracy.
4. Ability to handle confidential material, discreet, reliable, and loyal.
5. Excellent personal appearance and grooming.
6. Strong organizational skills to ensure efficient operation of the office.
7. Good communication skills, systematic and orderly � good planning ability, tactful, courteous, prompt, and punctual.
8. A customer service attitude with an ability to handle people in difficult situations. Skill in human relations � can work effectively and cooperatively with adults and young children � diplomatic.
9. Adaptability, initiative, and a willingness to assume additional duties that may be assigned, and to learn additional skills as required.
10. A conscientious and helpful attitude toward work and relationships with people and the ability to take instruction.
11. Skilled at operating general office equipment.
12. Good health and regular attendance � enthusiastic, cheerful.

REPORTS TO: Middle School Principal
TIME SCHEDULE: 7.5 hours 7:00 A.M. TO 3:00 P.M. � Lunch-30 Minutes
TERMS OF EMPLOYMENT
12-Month Contract
GENERAL DUTIES:
1. Meet and direct visitors/public to appropriate individuals. Visitors need to sign in and receive a visitor's pass.
2. Answer the phone, direct calls to appropriate staff, and/or take messages.
3. Type, file, and distribute correspondence, reports, newsletters, meeting agendas, staff evaluations, and related correspondence. Maintain up-to-date files.
4. Issue materials, handbooks, schedules, keys, textbooks, etc., at the opening of school and collect the same at the end of the school year.
5. Maintain an up-to-date textbook inventory file.
6. Collect and submit intra-district supply requisitions each month.
7. Collect timecards each pay period. Type the certified/classified absence list and submit it to payroll.
8. Maintain AESOP Program as a Campus User for the building, inputting vacancies, reconciling absences, and attending to unfilled absences as needed.
9. Assist in the preparation of the school budget, prepare purchase requisitions, and maintain accurate purchase order file.
10. Type faculty and student handbooks.
11. Type and keep a record of work orders per FMX.
12. Process all work certificates. Cards are given out and the work certificate typed, sending a copy to the state department.
13. Prepare bulk mailings when necessary. Type purchase order for postage. Prepare necessary form for the post office.
14. Substitute folders, keys, and any additional materials needed for the substitute are prepared by this office.
15. Insurance, both student and athletic insurance is collected and a list is typed and submitted to the treasurer.
16. Type certificates for all award ceremonies.
17. Sort incoming mail and distribute it to the proper staff when needed.
18. Activity accounts: accept and verify deposits and give receipts. Prepare a night deposit bag for each deposit. Post to activity account on the computer.
19. Assist with the preparation of local, state, and federal reports.
20. Attend training and in-service as required.
21. Prepare bus passes as needed each day.
22. Order supplies.
23. Be able to operate all office machines: copy machines, typewriters, calculators, computers, fax machine, postage meter.
24. Student fees: Make debt slips for each student at the beginning of the year and as newstudents are enrolled. Write a receipt for all the money paid. Input all fees and payments into the computer. Keep accurate records of all money paid and all fees due.
25. Discipline records: Type a letter to parents. Send copies to appropriate persons. PrepareALC sheets for assignments as needed and a calendar for ALC. Record on the computer screen for state reporting per instructions.
26. Programs codes: Input program codes into computer (MEMS) for all students in sports andclubs at the end of the year in time for June reporting.
27. Building Use Contracts: Prepare a contract and a notification to the treasurer after event is over and send it to the treasurer's office.
28. Other duties as assigned.
