Role Purpose

The People Shared Services Administrator plays a key role within the People Operations function, providing administrative and operational support to the business, employees, and People teams. This role ensures the consistent application of policies, procedures, and practices while maintaining high standards of data accuracy, compliance, and service delivery.

The position focuses on delivering an excellent employee experience through efficient handling of People-related queries, accurate data management in core

HCM systems, and effective collaboration with internal stakeholders.

Key Responsibilities

  • Respond to employee and manager queries in a timely and professional manner via shared services channels, ensuring a high-quality customer experience

  • Manage and process employee requests, including:

    • Employment documentation and verification letters

    • Completion of employment-related forms

    • Onboarding and offboarding support

  • Maintain and validate employee data within core HCM systems, ensuring accuracy, integrity, and compliance

  • Support benefits administration and payroll processes by liaising with Centres of Excellence (COEs) and external partners as required

  • Ensure proper documentation and record management in line with company policies, quality standards, and statutory requirements

  • Assist in maintaining and updating People policies, procedures, and process documentation

  • Support employee relations (ER) processes through document control and administrative coordination

  • Contribute to diversity and regulatory reporting requirements

  • Identify and support continuous improvement (CI) initiatives to enhance service delivery and operational efficiency

  • Act as an escalation point for shared services queries when required

Qualifications & Experience

Required:

  • Minimum 1 year of relevant experience in HR operations, shared services, or administrative support

  • Working knowledge of HR processes, systems, and data management

  • Ability to manage day-to-day tasks independently with minimal supervision

Preferred:

  • Experience working with HCM systems (e.g., Workday or similar)

  • Exposure to payroll, benefits administration, or HR shared services environments

  • Diploma or equivalent vocational qualification in HR, Business Administration, or related field

Additional Information

  • This role typically involves administrative, clerical, and operational support responsibilities within a structured environment

  • Interaction is primarily internal, focused on information exchange and service delivery

  • The role follows established processes with limited discretion for deviation
