The Role:
We are seeking a highly organized, proactive, and professional Administrative Assistant to support our Institutional Capital team. This individual will play a critical role in ensuring the efficient operation of the team by providing administrative support, coordinating complex schedules, managing travel and expenses, and serving as a key point of contact for internal and external stakeholders.
Responsibilities
Manage complex calendars, including scheduling appointments, meetings, and conferences for multiple team members
Coordinate complex domestic and international travel arrangements, including building out itineraries, visa coordination, and transportation arrangements
Reserve conference rooms, arrange catering, and prepare meeting materials as needed
Track business and travel expenses, collect required documents, and prepare accurate expense reports
Serve as point of contact for internal and external stakeholders, ensuring timely follow-up
Maintain organized and up to date files, records, and correspondence
Build and maintain strong working relationships with senior leadership, colleagues, vendors, and clients
Handle confidential information with discretion and professional judgement
Coordinate conference participation, including registrations, payments, attendee tracking, and vendor communications
Support special ad hoc projects as needed
Qualifications
Bachelor’s degree preferred or equivalent professional experience
3+ years of administrative support experience, preferably within financial services, or a professional services environment
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
Experience with Adobe Acrobat DC and Concur
Salesforce experience is a plus
Exceptional organizational, prioritization, and time management skills
Strong written and verbal communication skills
Ability to work independently while collaborating effectively across team
Demonstrates the highest level of professionalism, and discretion in handling sensitive information
The base annual salary range for this New York-based position will be $90,000 to $110,000. Actual salaries may vary based on factors, such as skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
