We are currently looking for an IMEX Coordinator to join our international team.

This is a hybrid position based in Warsaw, Poland, with an expectation to work from the office 3 days per week.

As an IMEX Coordinator, you will act as the central point of contact for export shipments and documentation, ensuring smooth coordination of export orders and maintaining communication across multiple internal and external stakeholders.

Key Responsibilities

  • Coordinate export air and/or ocean shipments
  • Track shipment progress on a daily basis
  • Update all relevant parties regarding shipment dates and required information to ensure smooth execution
  • Inform customers of shipment issues when necessary
  • Collaborate with internal departments to ensure timely shipment processing
  • Prepare export documentation according to import/export regulations and customer requirements
  • Issue compliant shipping documentation on time
  • Arrange product inspections and relabeling activities when required
  • Handle shipment-related issues and exceptions
  • Enter shipment information accurately and in a timely manner into SAP and operational systems
  • Log customer complaints related to export activities

Skills & Qualifications

  • Bachelor's degree in Business, Operations, or a related field
  • Experience in logistics and/or export operations
  • Strong team player with the ability to work in a collaborative environment
  • Action-oriented with a hands-on mindset
  • Strong analytical skills with attention to detail and accuracy
  • Excellent interpersonal skills in an international environment
  • Ability to work effectively under pressure
  • Strong communication skills and appreciation for cultural differences
  • Good Excel skills
  • Fluent in English; any additional language is a plus
  • Knowledge of SAP R/3 is a plus
  • Candidates must be eligible to work legally in Poland (EU citizenship or valid work authorization is required)
