Job Description
The Cash and Investment Clerk is a Level III clerical role within the Passenger Revenue department responsible for the end-to-end administration of transit pass sales and financial reconciliation. Key duties include processing daily lockbox and credit card deposits, balancing bank reconciliations with PNC statements, and utilizing Oracle and Converge systems to manage vendor invoices and account updates. The position requires a detail-oriented individual capable of handling high-volume mailings, inventory stocking, and professional customer inquiries while maintaining accurate records under tight deadlines. Job Responsibilities Prepare pass packages and mail-order pass for distribution. Verify pass receipts, checks and returned and passes for credit. Notify vendors of payment discrepancies. Balance bank reconciliations with vendor payments and PNC bank statement. Answer vendor and patron inquiries regarding passes. Process daily lockbox deposits Process daily phone in or Email and Credit Card Orders Write receipts to customers for Paratransit cards. Answer telephone. Dispose of unused passes in accordance with procedures. Maintain automated and manual filing systems. Use the Converge system to process credit card orders received by phone or email. Process pass orders received by phone or email. Daily, Weekly and Monthly mass mailings to existing vendors. Prepare envelopes and mailroom sheets for weekly and monthly mass mailings. Use Connect Suite e-Certify to generate customer list to print mailing labels and postage. Track and verify packages to destination and resend them if applicable. Prepare pass for delivery to Office Services. Stocking inventory of passes received from printing company. Process orders for consignment and bill to customers along with the invoices Perform auto invoice function in Oracle. Access Oracle to print invoice and then distribute to the vendor, with a copy to the supervisor. Assist with debt collection process. Maintain the receipt book and postage card received back in the mail. Update vendor accounts to increase or decrease the number of passes received. Update vendor contact information in Oracle.
