Summary:

DMC is currently looking for an experienced Document Controller based in Tucson, AZ. The Document Controller is a site-based role responsible for managing, organizing, and maintaining company documents to ensure accuracy, accessibility, compliance and security. Maintenance of both digital and physical documents, ensuring proper categorization, storage and version control. Ensure compliance with DMC standards, industry regulations, and legal requirements. Working under direct supervision, this role requires consistent execution of repetitive tasks with a high degree of precision, accuracy, and adherence to established procedures. The ideal candidate will demonstrate strong attention to detail, organizational skills, and a proactive approach to completing tasks within defined timeframes.

Responsibilities:

• Organize files for easy retrieval and maintain accurate records of all company documents, including contracts, policies, procedures and technical drawings.
• Ensure that Project specific SharePoint site is fit for purpose and regularly updated and maintained.
• Manage document control systems and processes, ensuring compliance with company standards, industry regulations and legal requirements.
• Review and update documents to ensure accuracy, completeness, and adherence to regulatory and quality standards. 
• Ensure physical copies of the latest documentation and technical drawings are readily available to the Project team.
• Collaborate with team members to ensure smooth workflow and communication.
• Ensure requests for information (RFI’s) are transmitted and responded to in a timely manner.
• Support the development of construction handover packages.
• Provide interface between DMC and Client document control and quality completions software.
• Perform audits, maintain version control, and ensure the latest documents are accessible.
• Adapt to diverse work settings, including attendance to the Project site office. 
• Follow and adhere to company policies, guidelines, and procedures.
• Ensure that documents are easily retrievable for authorized personnel and properly archived.

Qualifications:

• Proficiency in Microsoft Suites (e.g. Word, Excel).
• Experience in Document management, data entry, or a similar role. (Asset)
• Strong written and verbal communication skills.
• Exceptional attention to detail and accuracy in data recording.
• Strong organizational skills and ability to prioritize tasks effectively.
• Results-oriented mindset with a focus on timely task completion.
• Ability to work under pressure in fast-paced environments.
• Sense of urgency and a proactive approach to meeting deadlines.
• Punctual, dependable, and committed to following demonstrated procedures.
