About the Role:
Please Note: This is an 18-month fixed term position.
The Lead, HR Process & Documentation is responsible for establishing a structured, scalable foundation for HR policies, processes, and knowledge management. This role will lead the end-to-end creation, standardization, and documentation of HR processes, ensuring consistency, clarity, and governance across the function.
Working closely with HR leaders and stakeholders, the role will translate current practices into clear, standardized documentation, identify gaps, and implement sustainable frameworks for policy management, process design, and knowledge sharing.
As The Newest Member of Our Team, You’ll:
- Develop and maintain a comprehensive inventory of all HR policies, guidelines, and related documentation
- Assess current-state HR processes and identify gaps, inconsistencies, and opportunities for standardization
- Design and document end-to-end Standard Operating Procedures (SOPs) across all core HR processes (e.g., hiring, onboarding, compensation changes, terminations)
- Create clear, user-friendly process maps to accompany each SOP, ensuring alignment with actual system workflows (e.g., Workday)
- Review and enhance HR guidelines to address scenarios not formally governed by policy, ensuring appropriate levels of flexibility and control
- Establish documentation standards, templates, and version control practices for policies, SOPs, and process maps
- Develop 3–5 knowledge base articles per policy and SOP to support adoption and ease of use by HR and business stakeholders
- Partner with HR Business Partners, Operations, and Centres of Excellence to validate content and ensure practical applicability
- Ensure all documentation reflects current system configurations and business processes, with particular alignment to HRIS workflows
- Recommend and implement improvements to enhance usability, accessibility, and long-term maintenance of HR documentation
To Succeed, You Bring:
- 5+ years of experience in HR Operations, HR Process Design, or HR Transformation roles
- College diploma or bachelor’s degree in human resources, business administration, or related field or equivalent in relevant work experience.
- Demonstrated experience creating SOPs, process documentation, and process maps that can scale in a fast-paced and changing HR environment
- Experience working with Workday and documenting system-enabled processes
- Strong understanding of HR lifecycle processes, including recruitment, onboarding, job changes, compensation, and offboarding
- Experience developing or supporting HR policies and governance frameworks
- Experience in an HR environment would be an asset
- Strong process orientation with the ability to translate complex workflows into clear, structured documentation
- Excellent written communication skills, with a focus on clarity, usability, and consistency
- High attention to detail and commitment to documentation quality and accuracy
- Ability to balance standardization with practical flexibility in HR environments
- Strong stakeholder management skills, with the ability to work across multiple HR functions
- Self-directed and outcomes-focused, with the ability to manage deliverables in a project-based environment
- Proficiency in process mapping tools (e.g. Visio) and documentation platforms (e.g. SharePoint)
- Continuous improvement mindset, with a focus on building scalable and sustainable solutions
- Project management skills
The target hiring salary for this position is $96,800.00-$113,800.00. Placement within our salary range will be based on factors such as internal equity, market conditions, and the candidate’s experience, skills, and qualifications relevant to the role.
