
Quoting Specialist
Job Description
Position Summary: The Quoting Specialist is responsible for generating a completed Preliminary Cost Proposal for products and projects detailing purpose, background, assumptions, tasks, cost, and estimate timelines. This includes conducting research and analysis of multiple factors, while working with various departments within Swiss American CDMO, LLC. The Preliminary Cost Proposal will be submitted within two weeks of the completed Project Charters. The Quoting Specialist will communicate cross functionally with Purchasing, Operations, RID, Client Service Managers, and Business Development Managers. The Quoting Specialist will be the subject matter expert in coordination of information for timelines, equipment, and technical requirements of a quote.
Essential Duties and Responsibilities:
- Coordinates receipt of all information from CSM & BDs, Purchasing, Research, Innovation and Development, Quality Assurance/Quality Control and Operations.
- Creates a comprehensive PCP per the Client Project Charter and Technical Specifications following appropriate SOPs.
- Communicate effectively with multiple internal departments including the Purchasing Department, Client Service Managers, Business Development Managers, VP Commercial Development, and ad hoc resources.
- Maintains an understanding of currently quoted projects, to ensure continuity of pricing structures.
- Maintains a database of historical quotes and analyses of previous quotes
- Possesses skills to read and interpret technical specification drawings.
- Has knowledge of standard purchasing practices and terminology.
- Excellent organizational skills, problem solving techniques, and accuracy are essential.
- Creates, analyzes, and provides summaries of reports from ERP, Salesforce, and other data sources via Excel spreadsheets and other analytical tools to provide insights.
- Establishes standardized systems to streamline processes.
- Maintains a database of historical quotes and analyses previous quotes
- Must be able to integrate and translate knowledge of the business's capability and capacities into a quote that they would then explain to the customer, alongside business development (BD)
- Lead ERP (Deacom) quote routing accuracy and financial integrity, proactively validating standard versus actual cost performance, assessing P&L impacts, investigating variances, and driving countermeasures to protect margin and profitability.
- Act as a cross-functional problem solver during quote development and product launch preparation, owning identified challenges that could jeopardize launch timelines, coordinating across all impacted functions, and driving resolution to ensure successful, on-time product commercialization.

Essential Skills and Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, or equivalent work-related experience and/or training; or equivalent combination of education and experience.
- 2-5 years’ experience in contract manufacturing is strongly preferred.
- Experience with ERP systems and CRM software is a plus.
- Excellent written and verbal communication skills in English.
- Bilingualism (Spanish) is a valuable asset.
- Strong analytical and problem-solving skills.
- Ability to perform basic mathematical calculations and analyze data.
- Ability to analyze customer requirements, identify potential challenges, and develop accurate and competitive quotes.
- Strong decision-making and problem-solving skills.
- Ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with ERP systems and CRM software is essential.
