Job Description
The Executive Operations Specialist (EOS) plays a critical enterprise-wide role providing executive-level operational, administrative, and project coordination support for leadership-sponsored initiatives across all H2O America operating companies, including San Jose Water, Texas Water, Connecticut Water, and Maine Water. This role partners closely with the Chief Operating Officer,Managing Partners, and Operating Committee partners to ensure effective execution of business development activities, strategic planning, executive governance, and cross-company initiatives. The EOS serves as a central point of coordination to drive alignment, consistency, and timely execution across the H2O America enterprise. Business Development (Enterprise Support) The EOS supports enterprise business development initiatives, including mergers, acquisitions, strategic partnerships, and integration-related activities, as well as executive-level initiatives such as internal conferences and leadership events. The EOS facilitates communication, documentation, and project execution across departments and all H2O America subsidiaries, ensuring alignment with the organization’s mission, vision, and values. Operating Committee (Op Comm) Administration The EOS serves as the primary administrator for the H2O America OperatingCommittee. Responsibilities include managing meetinglogistics, scheduling, calendaring, preparation and distribution of agendas and materials, and maintaining official records. The EOS works closely with Managing Partners and Op Comm partners to ensure meetings are well-organized, efficient, and effectively support enterprise decision-making. Strategic Planning Coordination The EOS acts as the project administrator and centralpoint of contactfor the annualenterprise strategic planning process. This includes coordinating timelines, materials, meetings, and follow-up actions in collaboration with executive sponsors and designated participants across all operating companies. Managing Partner Support The EOS organizes and facilitates weekly Managing Partner meetings, ensuring clear communication, collaboration, and accountability. This includes drafting agendas in partnership with executive leadership, distributing materials in advance,tracking action items,and coordinating follow-upactivities across business units and functional partners. Other Enterprise Projects and Events Supports additional enterprise-wide initiatives and executive-sponsored events as assigned, including leadership conferences (e.g.,Moving Forward Together Leadership Conference) and other cross-company programs. Essential Functions, Principal Duties, and Responsibilities Business Development Support ·Provides administrative and project coordination support for mergers, acquisitions, and strategic initiatives across all H2O America subsidiaries. Assists with preparation, organization, and distribution of documentation related to due diligence, regulatory filings, and integration activities. Coordinates with internal teams and external partners to ensure timely, accurate, and consistent information flow. Interfaces with legal, financial, and regulatory stakeholders as required. Operating Committee, Managing Partner, and Strategic PlanningSupport ·Supports planning and execution of executive meetings, enterprise conferences, and leadership events across all operating companies. Manages scheduling, logistics, communications, and materials for executive initiatives. ·Oversees special projects assigned by executive leadership, ensuring timely completion and proper documentation. ·Facilitates cross-functional and cross-company collaboration for strategic and operational initiatives. Administrative and Technical Support ·Manages complex calendars, schedules meetings and off-site events, and attends meetings to capture minutes and action items. ·Maintains organized filing and record-keeping systems for enterprise initiatives and executive materials. ·Provides technical and administrative support for executive programs across H2O America. ·Compliance and Ethics ·Ensures all assigned activities comply with company policies, governance standards, and applicable regulatory requirements. Minimum Qualifications Valid driver’s license ·Bachelor’s degree or 7+ years of experience in administrative, operations, or project coordination roles, preferably supporting executive leadership, enterprise initiatives, or business development ·Exceptional written and verbal communication skills ·Strong business acumen and organizational judgment Demonstrated ability to handle highly confidential and sensitive information Physical Requirements Primarily an indoor office work environment
