About the role 

The Project Coordinator plays a pivotal role in supporting the successful delivery of the People Plus Program — the implementation of a new Human Resources Information System (HRIS) across Barwon Health, Colac Area Health, Hesse Rural Health, Great Ocean Road Health and Timboon & District Healthcare Service.

Operating within a complex multi-stream environment (Payroll, Rostering & Time & Attendance, Data & Migration, Integrations, Change & Training), the role supports program governance, coordination, reporting, and risk management activities to ensure delivery is controlled, transparent and aligned to approved scope, schedule and budget.

The Project Coordinator works closely with the Project team and key stakeholders to maintain program discipline, visibility and execution rigour.

 

 Key responsibilities 
  • Coordinate and maintain program governance and project documentation, ensuring schedules, RAID logs, governance packs, and project artefacts are accurate, current, and compliant with PMO standards.
  • Support program delivery, scheduling, and resource management by tracking milestones, managing cross-stream dependencies, monitoring resource utilisation, and escalating risks or delays.
  • Produce program reporting and support risk management activities, including maintaining dashboards, preparing status reports, monitoring performance, and facilitating risk and issue resolution.
  • Provide project administration and stakeholder support by coordinating meetings, preparing governance materials, managing communications, and supporting the Project Manager throughout all phases of the program lifecycle.

 

What we’re looking for 

  • Demonstrated experience in a Project Coordinator or PMO role, preferably supporting large-scale HRIS, payroll, ERP or other complex system implementations.
  • Strong understanding of project governance and project lifecycle methodologies, with the ability to manage documentation, schedules and multiple competing priorities.
  • Excellent communication and stakeholder management skills, including the ability to prepare clear reports and work effectively across multidisciplinary teams.
  • High attention to detail, organisational capability and proficiency in project management tools, with the ability to maintain confidentiality in a public health environment.
