
Leave of Absence Coordinator
Job Description
The Leave of Absence Coordinator provides operational and administrative support to the Absence Management team. This role serves as the initial point of contact for employees requesting a leave of absence and is responsible for intake, communication, and front-end process support. The Coordinator ensures timely and accurate initiation of leave cases by gathering required information, sending initial leave communications, and coordinating required documentation. This role supports a seamless transition of cases to Leave of Absence Administrators for ongoing management. Working in a high-volume environment, this individual contributes to a positive customer experience through responsive service, attention to detail, and adherence to established processes and compliance requirements.
Responsibilities
- Serve as the first point of contact for employee leave requests via email, phone, or system submission
- Initiate leave cases and gather required information (reason for leave, dates, pay preferences, etc.)
- Provide employees with guidance on the leave process, including FMLA, ADA, and Minnesota Paid Family & Medical Leave (PFML)
- Send initial leave communication, including leave letters, required forms, and leader notifications in a timely manner
- Route cases to the appropriate Leave of Absence Administrator for ongoing management
- Respond to general leave-related inquiries and provide timely, customer-focused service
- Provide support in managing the team inbox, assisting with triage and responses as needed
- Support Leave Administrators with administrative tasks to ensure continuity of service
- Assist with basic case updates or coverage support during team member absences
- Assist with audits, reporting, and tracking of leave data as needed
Required Qualifications
- A.A./A.S. in Human Resources, Business, or related field, or equivalent combination of experience and education
- 1 year of administrative, human resources, or customer service-related experience
Preferred Qualifications
- B.S./B.A. in Human Resources or related field
- Experience supporting HR functions or leave of absence processes
- Familiarity with FMLA, ADA, or state leave programs (such as MN PFML)
- Experience working in HR systems or case management platforms
