Agency Project Manager
Job Description
Key Responsibilities Project Planning & Delivery Lead end‑to‑end project management from ideation through execution and completion, ensuring alignment with agency strategy
Facilitate project planning sessions to define objectives, scope, timelines, resources, and budgets
Develop and maintain detailed project plans, milestones, risk registers, and timelines
Monitor project progress and proactively adapt plans to address changes, risks, or dependencies
Ensure projects are delivered on time, within budget, and to agreed quality standards
Stakeholder & Relationship Management Act as a key liaison between the Chief Agency Office, internal stakeholders, clients, and external partners
Manage expectations, communicate project status, and escalate issues where required
Build strong, trusted relationships to support effective decision‑making and execution
Governance, Reporting & Documentation Maintain accurate and up‑to‑date project documentation, including business cases, project charters, status updates, and post‑project reviews
Conduct regular project reviews and prepare clear, insightful reports for executive and senior management
Ensure projects follow agreed governance frameworks, processes, and approval requirements
Process Improvement & Optimisation Identify opportunities to streamline project delivery, improve agency processes, and enhance efficiency
Recommend and implement best practices, tools, and methodologies for project management
Support continuous improvement across the agency’s approach to planning, execution, and reporting
Growth & Strategic Initiatives Support the Chief Agency Office in identifying growth opportunities and initiating new projects
Assist in translating strategic priorities into actionable initiatives and roadmaps
Contribute to special projects and ad‑hoc initiatives aligned with agency transformation and growth
Key Skills & Competencies Over 8 years in agency business and relevant experience in project management Strong project management skills with the ability to manage multiple projects simultaneously
Excellent planning, organisation, and time‑management abilities
Strong stakeholder management and communication skills, including executive‑level reporting
Ability to work in a fast‑paced, agency environment with changing priorities
Analytical mindset with strong problem‑solving and decision‑making skills
Proactive, adaptable, and results‑driven approach
