Summary of Essential Duties:
- As an Imaging Scheduler, you will be responsible for all aspects of scheduling Imaging patients and supporting our CT, MRI, Ultrasound, Vascular, Nuclear Medicine, Mammography, X-Ray and Fluoroscopy clinics.
- The scheduler will work closely with physicians, techs and NPs.
- Obtains clinical information and screens for exam appropriateness.
- Using critical thinking skills, they make judgment calls and involve the radiologist, nurse or technologist when necessary.
- Interacts with office staff and patients, in a courteous and professional manner, with a focus on keeping waits and delays at a minimum.
- Schedule, reschedule, and cancel appointments; coordinate anesthesia; verify orders; provide preparation information; obtain lab results, history and physicals, and written orders.
The schedule for this position is Monday - Friday 8:00am - 12:00pm.
- Responsible for scheduling Imaging appointments following Standard Operations Procedures (SOPs). Ensures efficient scheduling based upon varying appointment duration times (10 minutes to 3 hours depending on the visit type) to maximize the use of scanners.
- Screens for appropriateness based on the clinical information provided. Prioritizes exams based on clinical indications and contraindications. Reviews patients’ medical charts in CS Link to determine medical history, medications and potential contraindications for ordered Imaging scans. Notifies ordering physician of contraindications to determine alternate Imaging services.
- Responsible for rescheduling and cancelling appointments; coordinating anesthesia; verifying referring physician orders against the scheduled appointment; providing preparation information; and obtaining lab results, history and physicals, and written orders.
- Accommodates all scheduling requests, with an emphasis on customer service.
- Provides complete and accurate exam related information to the customers.
- Adheres to scheduling protocols and procedures for over 1,900 different types of Imaging appointments/visit types. Able to schedule complex exams related to the type of scanner needed, scheduling sequence (involving Imaging agent/contrast issues), patient’s medical history and contraindication with an ordered scan, and which medications are contraindications for ordered scans.
- Schedules imaging exams for 50 outpatient scanners across Imaging modalities, to include Nuclear Medicine, Nuclear Cardiology, PET, DEXA, CT, MRI, Ultrasound, Vascular, Mammography, Xray and Fluoroscopy.
- Participates in planning and implementing Tests of Change, for continual emphasis on workflow process improvement, increased productivity, and regulatory compliance.
- Participates in lectures and continuing education.
- Special projects or assignments related to customer service, service recovery, productivity, and continuous improvement in the scheduling process.
Education:
- High School Diploma or GED required
- Two years of college or comparable level of education and experience preferred
Experience:
- At least 2 years experience required in a fast paced and complex environment where critical thinking skills are necessary
- Previous experience in a medical environment is desirable
- Windows based PC experience required
