Overview
Reporting into the Head of Operations, Romania the Office Administrator is responsible of the coordination of administrative activities, supervision of the rational use of resources and services necessary for the proper functioning of the Candu Energy RO office.
Your role
Plans and coordinates the activity of administrative staff and organizes the operation of basic services such as reception, physical security, maintenance, courier, archive, cleaning, protocol and waste recycling;
Maintains relationships with all service providers (building administration, security, cleaning, maintenance, protocol services) and acts as main point of contact to ensure high standards of office operations;
Manages and coordinates relationships with local service providers and monitors service delivery (courier, transport, communications, reception, security, maintenance, archive, cleaning, waste recycling, etc.);
Proposes and facilitates procurement, inventory and internal requests of office supplies, stationery and other materials needed for maintenance and repairs;
Maintains relation and offers internal support to the Health and Safety and Emergency Situations advisors contributing to upholding compliance with the local regulations and company standards;
Supports onboarding and periodic training of employees in Health & Safety and participates in safety committee meetings;
Assists in organizing occupational health medical checks with providers;
Manages desk booking systems and supports users;
Provides administrative support for documentation such as correspondence, customs declarations, purchase requests, expense reports;
Supports management with initiatives and improvement proposals related to administration;
Welcomes visitors, answers main phone line and resolves inquiries according to policies;
Organizes meetings and special events (logistics, scheduling, agenda, facilities);
Maintains organized documentation and generates reports as requested;
Performs other tasks assigned through the hierarchical line;
Is responsible for understanding, observing and applying the Internal Regulation, the Employer's Code of Conduct and all applicable internal policies and procedures;
Maintains professional conduct in relationships with colleagues and all persons encountered in work relations;
Collaborates with all departments providing excellent customer service.
About you
Computer proficiency and advanced user of MS Office suite
Good communicator in English written and spoken
Fluency in Romanian
Excellent communication and decision-making skills
Ability to work under pressure and support large teams
Very good organizational skills
Problem solving attitude
Qualifications
University degree
Minimum 3 years of previous experience in mid to complex administrative roles
Occupational H&S certification is an advantage
