Metric Engineering is hiring an Administrative Assistant based out of our Lake Mary office. This position provides administrative and project support to project managers and technical staff, helping maintain organized project records, process project-related documentation, and support office operations. The ideal candidate is detail-oriented, organized, and able to manage multiple assignments in a fast-paced consulting engineering environment.
Primary Responsibilities:
- Project document control, including scanning, filing, and maintaining project plans, studies, reports, invoices, and other project-related documentation.
- Assist Project Managers in locating project information and maintaining organized project files.
- Monthly petty cash reconciliation.
- Maintain office supplies and coordinate ordering of supplies as needed. Organize storage areas and ensure supply closets remain stocked and orderly.
- Coordinate maintenance and service of office equipment, including printers, copiers, and related devices.
- Update spreadsheets, databases, and Word documents for distribution within the office.
- Assist with progress reports, invoice documentation, and project-related administrative support.
- Support Project Managers with project expenses by reviewing and organizing consultant and project-related documentation in accordance with company procedures.
- Process project-related invoices, expense documentation, and supporting records on a monthly basis or as required by project schedules.
- Coordinate and arrange meetings, reserve conference rooms, prepare meeting materials, and prepare/transcribe meeting minutes.
- Check and distribute incoming mail and deliveries.
- Maintain organized electronic and hard-copy filing systems.
- Assist with special projects and administrative assignments as requested.
- Perform other duties and responsibilities as needed.
Education, Knowledge, Skills, and Experience:
- Education: High school diploma or equivalent required; Associate degree preferred.
- Experience: Minimum two (2) years of administrative, clerical, or office support experience.
- Technical Skills: Strong working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint). Experience working with invoices, expense documentation, or project records is a plus.
- Attention to Detail: Strong organizational skills and attention to detail.
- Work Style: Ability to work independently and as part of a team. Ability to manage multiple tasks and priorities while meeting deadlines.
- Communication Skills: Excellent written and verbal communication skills.
