RESPONSIBILITIES
- Manage, supervise, and support the full customer order processing workflow for Systems, Products, and Service Sales
- Identify process inefficiencies and implement improvement initiatives to enhance operational performance
- Execute and drive solutions to optimize sales order processing efficiency
- Prepare and present quarterly reports on Sales Order Processing performance for the Sales Department
- Ensure all Sales order processing activities comply with Yokogawa global standards, procedures, and regulatory requirements
- Coordinate with vendors to manage quotation updates, revisions, and accuracy
- Support customers with queries and ensure a timely response.
- Support the finance department with customer payment queries and tracking.
- Ensure order intake sheet is maintained (this includes ensuring back-end formulas are functional) and data is tracked correctly.
- Interdepartmental support with queries.
- Providing and following up on delivery times for customer orders
- Participate in internal and external audits, ensuring required documentation is available and compliant for Systems Sales
- Deliver training and support to internal teams on key systems (SAP, D-Procure, Yoda, CRM)
- Ensure all QMS procedure changes are kept track of and that the team is made aware of the changes and the affected system.
- Arrange team meetings when requested and take minutes.
- Complete leave schedules when requested for the team.
- Assist team members with material part number queries on SAP.
- Create Inter-company (Angola) proposals.
- Process Inter-company (Angola) orders.
- Support with Inter-company (Angola) vendor queries.
- Support the Sales Manager with queries and operational requirements.
- Build and maintain strong relationships with global affiliates.
